Job description

Position Function Summary
Under the direction of the CAO and Front Office Manager, the Patient Concierge serves as the first point of contact for patients and visitors entering the clinic. This position is responsible for greeting and assisting patients, supporting the check-in process, directing patients to the appropriate services, and helping manage patient flow to reduce front desk congestion. The patient concierge works collaboratively with providers, Medical Assistants, Pharmacy and Patient Service Representatives (PSR) to facilitate efficient clinic operations, enhance customer service, and create a positive patient experience from arrival through departure.
Essential Responsibilities
  • Provide excellent customer service and create a positive first impression of the clinic.
  • Welcome and direct patients, visitors, and vendors upon arrival in a friendly, professional, and compassionate manner.
  • Manage patient traffic and answer general questions
  • Verify the purpose of the visit and ensure patients are in the correct location.
  • Assist patients with locating departments and clinic services.
  • Assist patients with completing forms and updating information when needed before reaching a PSR.
  • Assist with kiosk or self-check-in processes when implemented in the future.
  • Help identify patients who may require immediate assistance or accommodation
  • Help reduce check-in delays by identifying patients who need assistance before reaching the front desk. Answer general questions and direct patients to the appropriate staff members when needed.
  • Provide assistance to elderly patients, individuals with disabilities, and patients requiring additional support.
  • Escort patients to appropriate areas when necessary.
  • Collaborate with Medical Assistance and Providers to support efficient patient flow and facilitate a positive patient visit experience.
  • Assist with scheduling follow-up patient appointments as needed
  • Help support insurance verification efforts
  • Assist with scanning and organizing documents as needed.
  • Provide coverage for lunch breaks and assist with other front-office operational needs.
Education, Experience and Skills/Training
  • High school diploma or equivalent required, and a minimum of one yearโ€™s experience in the area of customer service. .
  • Excellent customer service and interpersonal skills.
  • Strong verbal communication skills.
  • Ability to remain calm and professional in a fast-paced environment.
  • Proficient computer sills with the ability to efficiently navigate electronic health records, scheduling system, and multiple software applications.
  • LFMC required training Including, but not limited to basic Annual Safety, Anti-harassment, HIPAA Training;
  • Basic Knowledge and ability of general office procedures including filing, copying, faxing, use of a computer, to multitask within established deadlines, work under the direction of a supervisor and follow instructions for work completion, and take initiative to resolve patient concerns and problems;
  • Fluent in both English and Spanish, required.
