CLIENT COMMUNICATION & LEGAL ASSISTANT

LOCATION: Irvine, CA

STATUS: Full-time hourly ($20-$35/hour depending on experience)

SCHEDULE: Monday-Friday, 40 hours/week

POSITION DESCRIPTION:

Montevideo Law, PC dba Dog Bite Law Group is seeking an experienced and detail-oriented Client Communication and Legal Assistant with a heart for helping people, strong critical thinking skills, and a proactive approach to problem-solving. We are looking for someone who can be trusted to see their work through to completion with accuracy and dedication. At Dog Bite Law Group, our mission is to guide our clients through some of their darkest moments and fight for the justice they deserve. The Client Communication and Legal Assistant plays a vital role in achieving this mission by serving as the first point of contact for potential new clients. The ideal candidate effectively listens, builds positive relationships with clients, is highly organized, gathers pertinent information, and effectively explains the intake process, with the goal of closing intakes by signing appropriate cases.

SKILLS/REQUIRED QUALIFICATIONS:

  • Minimum 3-years experience in the personal injury field
  • Ability to be very personable and connect with potential clients – like the client can feel you “smiling” through the phone
  • Ability to work independently as a self-starter, prioritize and meet deadlines
  • Self-management and follow-up of tasks to full completion are essential
  • High-level listening skills to gain a thorough understanding of the client and their claim
  • Demonstrated interviewing skills to know which questions to ask to gather more information
  • Strong written and oral communication skills to explain next steps to clients and prepare information for attorney
  • Highly organized and attention to detail, critical thinker and problem solver
  • Driven, resilient and persistent
  • Integrity, strong work ethic, positive attitude, humility and driven to always improve, learn and grow
  • Ability to juggle multiple activities and work under multiple deadlines
  • Must be able to deal with confidential information in a professional manner
  • Computer literacy (MS Office, Box, PDF editing software, DocuSign, Salesforce CRM, general internet research)
  • Valid driver’s license and auto insurance

ESSENTIAL JOB FUNCTIONS:

  • Serve as the first point of contact for all incoming potential cases, representing the firm in a friendly and professional manner and making the potential clients feel heard and respected
  • Listen to the potential clients’ stories and thoughtfully gather and document key information
  • Evaluate prospective clients’ claims and make recommendations to the attorney regarding whether the firm should accept the case
  • Schedule initial consultation appointments with lead attorney for promising potential cases
  • Onboard new clients by completing necessary paperwork and putting together initial case files, or complete decline paperwork
  • Accurate, detailed and timely documentation and data entry into Salesforce
  • Be on the phone for several hours a day with clients
  • Investigate, search and identify homeowners' insurance to open insurance claims
  • Maintain organized files, accurate notes and timely follow-up on assigned tasks

ADDITIONAL JOB FUNCTIONS:

  • Request, collect, organize and assemble initial medical history/chronology, photos, information and records from clients
  • Research and gather information and evidence for cases and potential cases
  • Contact potential witnesses and draft/collect witness statements
  • Request/collect medical records/bills
  • Request/collect Animal Control reports and dog history records
  • Organize and assemble exhibits
  • Track case costs
  • Other general pre-litigation support
  • Scan and file mail

PREFERRED QUALIFICATIONS:

  • Bilingual Spanish-English is a strong plus
  • Associates or Bachelor’s Degree is a plus, but not required
  • Typing speed of at least 50 wpm with a high rate of accuracy
  • Writing sample may be requested
