Job description

The Medical Data Entry Rep plays an essential role in supporting daily laboratory operations by serving as a liaison between Patient Service Centers (PSCs), laboratory departments, and operations leadership. This position requires a highly organized, detail-oriented individual who thrives in a fast-paced healthcare environment and is committed to delivering exceptional service while maintaining the highest standards of quality and accuracy.

The ideal candidate has advanced knowledge of laboratory ordering, specimen handling, pre-analytical processing, and medical data entry. This individual exercises sound judgment, works independently, assists with training and quality initiatives, and proactively identifies opportunities to improve workflow and operational efficiency.

Essential Duties & Responsibilities
  • Maintain Patient Service Center (PSC) laboratory information systems to ensure accurate specimen processing and patient data integrity.
  • Verify laboratory orders for completeness and accuracy prior to processing.
  • Review and validate orders completed by other team members to maintain quality standards.
  • Assist with advanced troubleshooting involving incomplete orders, missing information, specimen discrepancies, and documentation issues.
  • Demonstrate a thorough understanding of the relationship between ordered testing and appropriate specimen requirements.
  • Communicate promptly with clients, Patient Service Centers, and laboratory personnel regarding issues that may impact specimen integrity or patient results.
  • Track and monitor quality control metrics while partnering with leadership to improve accuracy and workflow efficiency.
  • Keep leadership informed of trends, concerns, or inconsistencies that may affect laboratory quality, compliance, or operational performance.
  • Complete all required documentation accurately, legibly, and within established timeframes.
  • Cross-train and provide support in multiple functions within the Data Entry and Quality Control department as operational needs require.
  • Assist with onboarding and ongoing training of team members on laboratory systems, procedures, and best practices.
  • Meet departmental productivity and accuracy expectations within the first 90 days of employment.
  • Maintain strict compliance with HIPAA, CLIA, CAP, OSHA, and all company policies and procedures.
  • Perform additional administrative or operational duties as assigned.
Qualifications Education
  • Bachelor's degree preferred, or equivalent combination of education and relevant work experience.
Experience
  • Previous medical office, laboratory, or healthcare experience preferred.
  • Knowledge of medical terminology and laboratory specimen processing preferred.
  • Experience working in a high-volume production or healthcare environment is highly desirable.
  • Proficiency with Microsoft Office, Google Workspace, and laboratory information systems or electronic medical records is preferred.
  • Typing speed of at least 40 words per minute required.
