About the Role

We are seeking an Executive Assistant & Office Manager to support our Chief Financial Officer, CFO direct reports, and our manufacturing Leader. This role is ideal for someone who enjoys being a trusted administrative partner, keeping leaders organized, helping an office run smoothly, and proactively resolving needs before they become issues.

This position will play an important role in supporting the St. Charles office, manufacturing operation, and eventual Training Center. The right person will be approachable, organized, discreet, resourceful, and comfortable balancing executive support, office management, facility coordination, and operational administration in a busy environment.

Your Impact

  • Provide complex administrative support to the Chief Financial Officer and CFO direct reports, including calendar management, correspondence, meeting preparation, follow-up, travel arrangements, and confidential executive-level files.
  • Support the St. Charles manufacturing Leader with scheduling, coordination, operational follow-up, day-to-day logistics, and administrative support for local priorities.
  • Serve as a trusted point of contact for the St. Charles office when leaders are unavailable or offsite, proactively identifying needs, resolving routine issues, and escalating matters appropriately.
  • Help keep the St. Charles office and eventual Training Center organized, stocked, professional, and running smoothly by coordinating office provisions, shared spaces, visitor needs, vendors, utilities, and facility services.
  • Support the continued setup, move-in, and operational readiness of the St. Charles office, including furniture, supplies, vendors, employee needs, and administrative processes during the transition period.
  • Receive and direct visitors and employees, coordinate common meeting rooms, hoteling spaces, and office events not already supported by automated tools.
  • Serve as a go-to resource for Viewpoint (ERP) and GECO process questions, maintaining a working knowledge of standard reports and responding to team questions on report data.
  • Partner with Accounting and Information Technology on project tracking tools, management systems, and related administrative processes.
  • Perform other duties as assigned.

Who You Are

  • High school diploma or GED
  • 5 to 8 years of experience as an administrator supporting an executive-level position.
  • Additional experience in office coordination, facilities or vendor management, or administrative support to an operations or manufacturing group preferred.
  • Experience with an ERP or construction accounting system is preferred; proficiency in Viewpoint is expected to be developed within the first year.
  • Experience supporting a manufacturing, construction, field operations, or training center environment is preferred.

  • Ability to establish, document, and improve administrative processes while effectively utilizing business systems and software applications.
  • Extensive knowledge of office administration, facilities support, and general business practices and procedures.
  • Professional, dependable, resourceful, customer-service oriented, and able to adapt to changing business and operational needs.

Work Environment

This is an onsite, office-based position within a manufacturing facility. The role requires regular presence in office may require occasional schedule flexibility based on business needs, executive support requirements, special events, training activities, or operational priorities.
