Position: Medical Administrative Support

Type: Full-time

Location: Joint Expeditionary Base Little Creek Fort Story, Virginia Beach, Virginia

Travel: 10%

**Contingent Upon Award**

Position Summary: The Medical Administrative Support Level II provides front-desk medical administrative and clinic support services for Naval Special Warfare Group Two (NSWG-2) Logistics Support Unit Two (LOGSU-2). This position serves as the primary medical administrative point of contact for patients, visitors, providers, and clinic personnel. The incumbent is responsible for medical record management, patient intake, appointment coordination, computerized data entry, administrative processing, and clinic support activities. This role directly contributes to mission readiness by ensuring accurate medical documentation, efficient patient processing, and timely administrative support to Naval Special Warfare medical personnel while maintaining compliance with HIPAA and applicable medical information management requirements.

Duties and Responsibilities:

  • Serve as the clinic front-desk medical administrator and primary administrative point of contact.
  • Receive, greet, and direct patients and visitors to the appropriate medical provider or clinic service.
  • Answer routine inquiries and provide administrative customer service support to patients and staff.
  • Obtain and document basic patient information and medical history as directed by clinic procedures.
  • Obtain and record patient vital signs when required.
  • Coordinate appointments, schedules, administrative records, and clinic correspondence.
  • Organize and maintain medical records, documentation, and administrative files.
  • Provide administrative and clerical support to medical providers and clinic staff.
  • Support patient care coordination activities to ensure timely and accurate administrative processing.
  • Maintain accountability and security of medical records and protected health information.
  • Perform computerized data entry and information processing activities within authorized medical systems.
  • Ensure all administrative activities are performed in compliance with HIPAA, Department of Defense, Navy, and clinic requirements.
  • Support medical readiness, records management, and patient tracking activities as assigned.

Required Qualifications:

  • US Citizen
  • Valid U.S. driver's license
  • Must hold an active Secret Security Clearance
  • Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • Must be able to communicate clearly and effectively
  • Must accurately input and manage data across systems
  • Must be able to obtain and maintain installation access
  • Must be compliant with Health Insurance Portability and Accountability Act (HIPAA) requirements
  • Certification: Must be certified by the American Health Information Management Association (AHIMA) or have completed a Medical Assistant Program recognized by the Commission on Accreditation of Allied Health Education Programs (CAAHEP) or the Accrediting Bureau of Health Education Schools (ABHES).
  • Minimum three (3) years of Naval Special Warfare (NSW) community experience.
  • Practical knowledge of standard clinic procedures, medical record accountability, patient administration, and medical terminology.
  • Experience with computerized medical data entry and medical information management systems.
  • Experience using Electronic Health Record (EHR), medical readiness, patient administration, or comparable medical information systems.
  • Experience supporting patient scheduling, records management, medical documentation, and clinical administrative operations.
  • Strong customer service, interpersonal communication, medical documentation, and organizational skills.
  • Ability to manage multiple administrative tasks in a fast-paced clinical environment while maintaining confidentiality and accuracy.
  • Physical Ability to:
  • Ability to move equipment weighing 1020 pounds
  • Ability to sit or stand for extended periods in a clinical environment
  • Ability to perform repetitive administrative and data entry tasks
  • Ability to interact with patients in a clinical setting

Physical Demands and Work Environment: While performing the duties of this position, the employee is regularly required to talk, listen, and write. The employee frequently is required to use foot/ankle motions, hands or fingers, handle or feel objects, tools, or controls. The employee is required to stand, walk, sit; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually moderate.
