Medical Administrative Support Specialist

Black Bear Talent is urgently hiring a detail-oriented Medical Administrative Support Specialist to assist during an upcoming software conversion project. This role will play a key part in helping maintain workflow continuity and ensuring day-to-day administrative processes continue moving efficiently throughout the transition. The ideal candidate will have a background in medical administrative support, strong computer proficiency, and a solid understanding of HIPAA regulations and confidentiality standards. This position requires someone who is highly organized, dependable, and able to manage sensitive information with accuracy and discretion.

This is a contract role with hours being Monday - Friday, 8:00am - 4:30pm, and possible overtime.

Key Responsibilities

  • Support daily operations during a medical software conversion process
  • Review, organize, and route incoming documents including faxes, scanned materials, notes, and related correspondence
  • Upload and move documentation into appropriate work group folders and systems
  • Maintain accuracy and organization of digital records throughout the conversion
  • Ensure confidential patient and organizational information is handled in compliance with HIPAA standards
  • Assist in keeping administrative workflows moving efficiently during periods of change and transition
  • Communicate effectively with internal teams to ensure documents are routed correctly and timely

Qualifications

  • Previous experience in a medical administrative assistant or similar healthcare administrative role required
  • Working knowledge of HIPAA regulations and confidentiality requirements
  • Strong computer skills with the ability to navigate multiple systems and digital file management
