JOB OVERVIEW:

The Mobile Free Pharmacy (MFP) Events Manager is responsible for planning, logistics coordination and executing the Mobile Free Pharmacy events across North Carolina. This role requires frequent travel throughout the state and requires a highly organized and forward-thinking individual with strong event planning, operation and leadership skills who can successfully manage multiple moving parts while ensuring smooth and efficient event execution.

The MFP manager will maintain a patient-centered approach while working with diverse populations and serves as a front-facing representative of the organization for community partners and patients while ensuring that the MFP events reflect our organizations goals.

This position reports to the Mobile Free Pharmacy Director and will work closely with the OTC Program Director, warehouse tea,, volunteers and community partners to coordinate all aspects of MFP events with a focus on planning, staffing, product fulfillment, transportation logistics, and onsite execution.


KEY RESPONSIBILITIES:

The performance requirements are listed below, but are not limited to these responsibilities:


  • Lead the planning, logistics coordination and execution of Mobile Free Pharmacy Events throughout North Carolina, including managing multiple events concurrently as funding allows.
  • Coordinate and lead host site visits, event confirmations, planning meetings, follow-up meetings, and other required meetings with team, volunteers, partners, funders, and community stakeholders related to MFP events.
  • Collaborate closely with the OTC Program team to develop, maintain, and distribute OTC medication order forms and event-related materials for MFP events.
  • Work closely with the OTC Program Director and warehouse team to ensure MFP orders are fulfilled accurately and in a timely manner; assist in warehouse operations and order fulfillment.
  • Coordinate staffing plans for events, including scheduling, training, supervising, and supporting staff and volunteers to ensure events operate efficiently and provide a positive experience for participants and community partners.
  • Serve as an event lead at MFP events by providing onsite leadership, oversight, troubleshooting, and operational coordination.
  • Operate and regularly drive organization fleet vehicles for MFP events while ensuring vehicles are properly packed, organized, maintained, and prepared with all required medications, supplies, equipment, and materials.
  • Prepare, organize, transport, and monitor event inventory and supplies, ensuring all items remain adequately stocked and reordered as needed.
  • Coordinate event logistics including travel arrangements, meal/lunch coordination for team and volunteers, event setup preparation, and transportation planning.
  • Maintain strong communication and timely follow-up with community partners, host sites, funders, volunteers, and stakeholders to foster positive and collaborative relationships.
  • Assist with promoting MFP events and supporting community outreach efforts that strengthen organizational visibility and community engagement.
  • Recommend, develop, and implement strategies to improve event processes, logistics, operational workflows, and overall event efficiency.
  • Generate weekly, monthly, quarterly, and other required reports related to event activities, community impact, counties served, and stakeholder reporting requirements.
  • Maintain professionalism and represent the organization positively within the community and during all interactions with staff, volunteers, partners, and stakeholders.
  • Performs other duties, special projects and organizational support tasks as assigned.


QUALIFICATIONS:

  • Associate or Bachelor's degree in Event planning, Health Sciences, Human Services, Nonprofit Management or other related field OR equivalent relevant experience.
  • Experience in logistics coordination, event planning, or operational support, preferably in a nonprofit, healthcare, or community-based setting.
  • Experience training, supervising, and supporting staff and volunteers in a team-based environment.
  • Strong Background in leading events or programs that require coordination of multiple moving parts.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel), with ability to manage documentation, scheduling, and reporting effectively.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and events simultaneously.
  • Demonstrate leadership capabilities and ability to make sound judgment calls in a fast-paced environment.
  • Comfortable working across in-person, hybrid, and remote settings as needed.
  • Strong ability to communicate clearly and effectively, including verbal, written, and presentation skills.
  • Experience working collaboratively in team environments and building productive working relationships across departments and roles.
  • Ability to interact effectively and respectfully with individuals from diverse socioeconomic, cultural, disability, and ethnic backgrounds.

PHYSICAL REQUIREMENTS (with or without reasonable accommodation):

  • Ability to stand and walk for long periods of time.
  • Ability to frequently push, pull, lift up to 30lbs with occasional lifting of up to 50lbs.
  • Full range of motion for frequent bending, squatting and reaching.
  • Flexibility in working in diverse settings including office, warehouse, retail store and outdoors for events.
  • Valid drivers license and comfortable operating a company vehicles including box trucks frequently.
