POSITION DESCRIPTION

Title: Administrative Assistant

Reports To: Manager, District Operations

Job Overview:

This position will support the Operations and District Manager administration and coordinate with all lines of business. Candidate must have strong customer service skills, problem solving, organization, and multitasking and have strong attention to detail. Advanced computer skills including word, excel & Microsoft outlook are preferred.

Perform the following items (60%)

  • Inspecting Customer Vehicles for Cosmetic Damages. Input all vehicles into Repair360 system with accurate information.
  • Answering phones
  • Light office cleaning
  • Handle all billing
  • Coordinate with drivers forpick-up of vehicles
  • Process estimates for customers through project software system (Training will be provided)
  • Inspect field estimates for proper photos and information
  • Ensure accounting and invoices are properly submitted and paid
  • Manage incoming warranty requests from various companies.
  • Collect necessary documentation, including photos and billing details, from warranty providers.
  • Negotiate additional charges with warranty companies as needed.
  • Assign claims to the appropriate technician and manager within designated areas
  • Ensure work orders are uploaded to technicians' devices before appointments.
  • Process claims efficiently after work completion.
  • Track and consolidate data on revenue generated from warranty repairs.
  • Train and mentor new technicians on warranty program procedures.
  • Identify and establish partnerships with new warranty opportunities.

Quality Control, Service Excellence, Subject Matter Expert (40%)

  • Maintain supplies inventory by checking stock to determine inventory level, placing and expediting orders for supplies, verifying receipt of supplies.
  • Receive Enterprise car sales tire invoices (NTW or US Autoforce) by marking "TIRE HOLD" phase as "complete" for the appropriate car sales unit
  • Receive parts for Avis units, dealer parts, and packages.

Other duties as assigned

Qualifications:

  • High school diploma or equivalent
  • 1-2 years of admin experienceor in similar role
  • Outstanding communication skills and exceptional attention to detail.
  • Paint, body shop, PDR or reconditioning skills a plus.
  • Demonstrated ability to create and/or implement processes.
  • Strong organizational and planning skills.
  • Knowledgeable of Microsoft Outlook, Word & Excel.
  • Must have strong time management and organizational skills.
  • Experience in automotive industry is preferred but not required

Physical Job Requirements:

  • Sedentary position, computer based, and ability to sit for long periods of time.
