About the Role
We are seeking a sharp, organized, and motivated Healthcare Referral Marketing Coordinator to support physician outreach, referral development, and healthcare marketing for specialty clinics and infusion services in the Dallas-Fort Worth area. This role is best for someone with medical office, referral coordination, healthcare marketing, provider relations, front desk, prior authorization, or physician liaison support experience.
Primary objective: build and maintain strong referral relationships with physicians, clinics, pharmacies, case managers,
discharge planners, and healthcare partners.
Key Responsibilities
Referral Outreach
- Build and maintain referral lists for physicians, specialists, primary care offices, pharmacies, case managers, and healthcare partners.
- Call physician offices to introduce services and identify referral contacts.
- Send referral packets, service sheets, flyers, and follow-up messages.
- Schedule introductory meetings, office visits, and lunch-and-learns.
- Track all referral outreach, responses, meetings, and follow-up tasks.
Healthcare Marketing Support
- Assist with marketing campaigns for specialty care, infusion services, and clinic locations.
- Prepare simple flyers, one-pagers, email messages, WhatsApp/text outreach, and referral materials.
- Update provider contact databases and referral source lists.
- Support Google Business Profile updates and patient review campaigns.
- Coordinate with internal teams, providers, designers, printers, and vendors when needed.
Reporting amp; Follow-Up
- Maintain a clean CRM or Google Sheets referral tracker.
- Prepare weekly reports showing offices contacted, responses received, meetings scheduled, referral opportunities, new โreferral sources, and pending follow-up.
- Ensure no referral relationship or outreach opportunity is missed.

Required amp; Preferred Skills : Healthcare, medical office, referral, front desk, prior authorization, or marketing experience
Physician outreach or provider relations experience
Comfortable making phone calls to physician offices Infusion, specialty care, orthopedics, pain, rheumatology, neurology, GI, or primary care experience
Strong follow-up and organization skills Canva or basic design experience
Good written and verbal communication CRM experience
Google Sheets or Excel experience Bilingual English/Spanish preferred
Ability to manage multiple tasks without constant supervision Insurance, referrals, authorizations, or medical records knowledge
Daily Tasks May Include
- Call 20-40 physician offices
