The Lease-Up Marketing Associate plays a key supporting role in ensuring Bell's lease-up communities launch successfully, generate qualified traffic, and achieve leasing goals during the critical first 90 days of operations. This position supports the execution of lease-up marketing initiatives, coordinating activities ranging from onboarding and vendor management to signage implementation, budget administration, and marketing project management.
Working closely with the Transitions team, Marketing team, Operations teams, vendors, and external marketing partners, the Lease-Up Marketing Associate helps ensure every lease-up community is positioned effectively in the market and equipped with the marketing tools, resources, and operational support necessary for a successful launch and stabilization period.
This role serves as a key liaison between Marketing, Operations, and external partners, attending client and operations meetings, supporting project execution, and ensuring that lease-up activities remain organized, on schedule, and aligned with Bell's standards.
This is an ideal role for someone early in their marketing career who enjoys project management, organization, cross-functional collaboration, and learning how real estate development, operations, and marketing intersect to drive successful multifamily lease-up performance.
Essential Functions and Responsibilities
Lease-Up Execution & Support
  • Support the Senior Marketing Manager, Transitions in coordinating all marketing-related activities associated with lease-up communities.
  • Assist with maintaining and executing lease-up checklists, timelines, and documentation to ensure deliverables are completed accurately and on schedule.
  • Support onboarding activities for new lease-up communities, ensuring required information, assets, and approvals are collected and processed efficiently.
  • Coordinate the setup and launch of marketing platforms, including websites, CRM integrations, internet listing services (ILS), social media channels, and other marketing technologies.
  • Assist with project management of lease-up initiatives from pre-leasing through the first 90 days of operations.
  • Ensure all lease-up files, creative assets, and project documentation are organized and available to internal stakeholders.

Vendor & Asset Coordination
  • Assist with onboarding and coordinating marketing vendors to support timely community launches.
  • Support management of signage projects, including tracking timelines, approvals, installations, and vendor communication.
  • Coordinate with internal teams and external partners to ensure marketing materials and assets are delivered according to project schedules.
  • Maintain vendor records and organize documentation related to lease-up marketing activities.
  • Support issue resolution and follow-up with vendors to ensure deliverables meet Bell's standards and timelines.

Budget & Reporting Support
  • Assist with tracking lease-up marketing budgets and expenditures.
  • Help maintain project trackers, reporting templates, and status updates for lease-up communities.
  • Support the collection and organization of marketing performance data and operational updates.
  • Prepare meeting materials, summaries, and reports for lease-up discussions with internal and external stakeholders.
  • Ensure lease-up data, project milestones, and budget information are documented accurately and updated consistently.

Cross-Functional Collaboration
  • Partner with Operations, Account Management, Brand, Digital, and external vendors to ensure successful execution of lease-up initiatives.
  • Attend client and operations calls to capture action items, communicate updates, and support follow-through on project deliverables.
  • Assist in identifying risks, outstanding items, and operational challenges that could impact lease-up timelines.
  • Coordinate project updates and ensure stakeholders have access to accurate information and resources.

Operational & Administrative Support
  • Maintain lease-up documentation including project plans, status trackers, vendor files, and information repositories.
  • Assist with updates to Bell's corporate website related to lease-up communities.
  • Audit marketing listings, websites, and digital assets to ensure brand consistency and accuracy.
  • Support help desk requests, project administration, and department initiatives as needed.
  • Organizing photography and videography assets in our DAM, CMS systems, ILSs and more.
  • Provide additional administrative, marketing, and project support as assigned.
