About US:

Founded in 1983, Chenbro is a global leader in designing and manufacturing high-quality rackmount systems, server chassis, and PC chassis. Our Ontario, CA office supports engineering, warehouse operations, and administrative teams. We are seeking a dependable and proactive Office & Operations Assistant to support daily office functions, coordinate site activities, and assist with company events.

Position Overview:

The Office & Operations Assistant will maintain an organized and efficient office environment while supporting site operations and serving as the primary support for the Site Manager. This role is ideal for someone who enjoys a mix of administrative tasks, coordination work, and hands-on responsibilities.

Key Responsibilities Office & Administrative Support

  • Serve as the first point of contact for visitors and employees.
  • Maintain office supplies, snacks, breakroom inventory, and overall office organization.
  • Handle general administrative tasks such as filing, scanning, printing, and data entry.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Assist with office vendor coordination (cleaning, maintenance, etc.).
  • Book flights, hotels, and travel arrangements for employees as needed.
  • Process reimbursement requests, collect receipts, and ensure timely submission.
  • Assist in communicating with city departments or officials for operational matters (e.g., permits, inspections, compliance inquiries).

Site Operations Support

  • Act as the main support for the Site Manager in daily operations.
  • Assist with coordinating between office and warehouse teams.
  • Support facility and safety checks and report issues promptly.
  • Help maintain clean, organized, and functional common areas.

Event & Activity Support

  • Assist in planning and executing company events, celebrations, and team-building activities.
  • Help with event setup, preparation, logistics, and cleanup as needed.

Additional Duties

  • Provide consistent updates on assigned tasks and follow through until completion.
  • Perform other duties and special projects as assigned by the Site Manager.

Qualifications

  • High school diploma or equivalent required; Associate’s degree preferred.
  • 1+ years of administrative or office support experience preferred.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent communication and follow-up skills; must be responsive and reliable.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Mandarin-speaking preferred to support communication with corporate teams.
