Job description

G.A. West is looking for a Vehicle Compliance Specialist to join our team. Prior experience in dashcam/telematics software, Compliance, and Document Control is preferred but not required. Proficiency in Adobe Acrobat Pro, Microsoft Office Suite, and varying cloud-based software programs is required. This is a full-time opportunity with a Monday - Friday schedule. Pay range $20-$25/hour, dependent on experience.

Responsibilities
  • Provide assistance to the Vehicle Compliance Lead and the Compliance Director
  • Compile and maintain employee driver files including but not limited to: executed policies, MVRs, driver's licenses, eligibility, insurance, approvals, reprimands, etc.
  • Keep updated logs of the following: all drivers (and all eligibility data), company-owned vehicles, rental vehicles, vehicle requests, damages, accidents/incidents, etc.
  • Assist new drivers in getting set up for the dashcam/telematics software, app, and the MVR program. Ensure all drivers have filled out the proper documentation before approval is granted.
  • Audit all logs regularly for accuracy and updates
  • Answer directly to the Vehicle Compliance Lead
  • Put effort into improving and automating (if applicable) all document control and enforcement policies for Safety and HR
  • Input MVRs into document management system
  • Learn and become SME for document control standards in order to make sound decisions concerning the integrity of documents
  • Learn and become SME for Safety and HR policies and processes; enforce document standards, compliance, and organization
  • Learn, perfect the functionality of, and become SME for the telematics/dashcam software
  • Review daily dashcam/telematics reports such as dormancy, vehicle gateway, location tracking, camera connection, etc. and address any recognized issues
  • Monitor dashcam/telematics software daily for enforcement of safety policies within G.A. West vehicles (fleet and drivers). Maintain and audit system data and records.
  • Identify faces, monitor behavior, run MVRs, provide coaching, issue warnings, etc. daily as needed
  • Communicate with drivers to dismiss events as needed. Investigate issues regarding the vehicles and incidents.
  • Work with team to acquire vehicles for new drivers and determine what is available
  • Log and acknowledge violations and determine action needed based on violation criteria
  • Ensure that all warnings are logged, stored, and communicated to supervision and HR (for issuing and storing in employee's file)
  • Follow closely all guidelines of the vehicle compliance SOP and make changes to SOP as the process evolves; maintain a teamwork mentality in regard to improvements to the process.
  • Perform consistent maintenance of the dashcam/telematic software
  • Troubleshoot technical issues
