Docketing Specialist

(Sacramento or San Francisco, Full-time, Remote)

Fisher Phillips, a premier international labor and employment law firm, is seeking a highly detail-oriented and experienced Docketing Specialist with advanced expertise in calendaring to join our firm-wide litigation support team. This role is responsible for managing all aspects of court and litigation docketing, ensuring critical deadlines are accurately calculated and tracked according to court rules and procedures. The ideal candidate will work effectively in a high-volume, fast-paced environment supporting attorneys and staff.

Key Responsibilities:

  • Enter, maintain, and monitor all court, agency, arbitration, and administrative deadlines using Aderant Milana.
  • Analyze court, agency, arbitration, and administrative filings (e.g., complaints, charges, petitions, motions, notices, scheduling orders, and rulings) to accurately calculate and calendar all applicable deadlines.
  • Maintain litigation and matter calendars and ensure attorneys and staff receive timely reminders, reports, and notifications of upcoming deadlines.
  • Review new matters and filings to identify docketing requirements and ensure all critical deadlines are captured accurately and timely.
  • Perform regular audits of docket entries to ensure accuracy, completeness, and compliance with applicable jurisdictional rules and procedures.
  • Research and apply federal, state, local, agency, and arbitration rules and procedures when calculating deadlines and calendaring events.
  • Stay current on jurisdictional rule changes and procedural updates; maintain and update calendaring rules and protocols as needed.
  • Serve as a resource to attorneys and staff regarding calendaring rules, deadline calculations, and docketing procedures.
  • Collaborate with attorneys, legal assistants, paralegals, and litigation teams to ensure adherence to firm docketing protocols and best practices.
  • Assist with the development, documentation, and continuous improvement of docketing procedures and workflows.
  • Train and support new users on Milana functionality and firm docketing protocols.
  • Generate and distribute docket reports, deadline reminders, and other calendaring-related communications.
  • Assist with subpoena and deposition tracking, hearing schedules, trial dates, mediations, arbitrations, and other litigation-related events.
  • Participate in special projects and initiatives related to litigation support, calendaring systems, and future docketing department development.

Qualifications:

  • Minimum 5 years of California docketing experience.
  • In-depth understanding of civil litigation procedures, court rules (federal and state), and deadlines.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and meet deadlines in multi-office environment.
  • Excellent communication skills, both written and verbal.
  • Proficiency with Microsoft Office Suite (especially Outlook, Excel, and Word).
  • Familiarity with electronic filing systems (e.g., CM/ECF, PACER) a plus.

Work Environment:

  • The position will initially support the Sacramento and San Francisco offices and is expected to play a key role in the firm's long-term docketing strategy.
  • As the firm continues to grow, this role may evolve into a position within a centralized Docketing Department serving offices nationwide.

The hourly rate range for this position is $39.00 – $50.00. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
