Job description

POSITION SUMMARY
The Assistant Fleet Manager supports the Fleet Manager in overseeing all aspects of Kualoa Ranch's vehicle fleet operations, including maintenance, safety compliance, and staff management. This position plays a key role in ensuring that all vehicles-ranging from tour and transportation units to utility and support vehicles-are safe, well-maintained, and available for daily operations across the Ranch. The Assistant Manager provides day-to-day supervision of mechanics and shop activities, coordinates preventive maintenance schedules, manages parts inventory, and assists with regulatory and safety compliance. This role requires strong leadership, technical understanding, and attention to detail, all while embodying Kualoa's values of Aloha, Mālama, Po'okela, 'Ohana, and Laulima.
KEY RESPONSIBILITIES
Operations & Maintenance Support
  • Support the Fleet Manager in planning and overseeing daily maintenance and repair operations.
  • Assign and monitor mechanic workloads to ensure timely completion of work orders.
  • Conduct routine inspections of vehicles, facilities, and tools to ensure operational readiness.
  • Assist with tracking service schedules, maintenance logs, and inspection records.
  • Coordinate with department managers to schedule vehicle downtime and maintenance priorities.
  • Help manage vendor relationships for parts, repairs, and warranty work.

Safety & Compliance
  • Enforce compliance with DOT, OSHA, EPA, and company safety standards.
  • Conduct and document safety meetings, vehicle inspections, and post-incident reviews.
  • Ensure all mechanics follow safe work practices and proper use of equipment and PPE.
  • Maintain up-to-date certifications, permits, and inspection records for all vehicles.

Inventory & Administrative Management
  • Assist in managing parts inventory, fuel logs, and supply procurement.
  • Support payroll submission, billing review, and vendor invoicing for the department.
  • Maintain organized records of repairs, costs, and fleet performance metrics.
  • Help prepare reports on maintenance trends, costs, and downtime analysis.

Team Leadership & Development
  • Supervise mechanics and shop personnel in the absence of the Fleet Manager.
  • Train and mentor new staff, promoting technical skill development and adherence to standards.
  • Support a positive, collaborative shop culture that values teamwork, accountability, and communication.
  • Assist in evaluating staff performance and identifying growth opportunities.

Cross-Department Collaboration
  • Coordinate with operations teams (Tours, Agriculture, Facilities, etc.) to address vehicle needs and emergencies.
  • Support event logistics and special projects requiring transportation or mechanical assistance.
  • Communicate clearly across departments to ensure fleet reliability and efficiency.

MINIMUM QUALIFICATIONS
  • 2-4 years of experience in vehicle maintenance, fleet coordination, or transportation operations.
  • Prior supervisory or lead technician experience preferred.
  • Working knowledge of automotive or diesel systems, maintenance procedures, and diagnostic tools.
  • Strong organizational and problem-solving skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and maintenance tracking systems (e.g., Fleetio or similar).
  • Valid Driver's License with clean driving record; CDL preferred.

PREFERRED QUALIFICATIONS
  • Technical or trade certification in automotive or diesel mechanics.
  • Experience managing compliance with DOT, OSHA, or EPA standards.
  • Familiarity with hybrid, electric, or utility vehicle systems.
  • CPR/First Aid certification (or willingness to obtain).

PHYSICAL REQUIREMENTS
  • Ability to lift, push, pull, or carry up to 75 lbs.
  • Capable of standing, bending, and working in outdoor and shop environments for extended periods.
  • Comfortable working around heavy equipment and in varying weather conditions.
