POSITION SUMMARY
The Fleet Manager oversees the maintenance, compliance, and performance of Kualoa Ranch's diverse vehicle fleet, including tour, utility, and support vehicles. This role ensures all vehicles are safe, well-maintained, and operationally ready to support departments across the Ranch. The Fleet Manager leads a team of mechanics and support staff, balancing day-to-day operations with long-term planning, cost control, and regulatory compliance. This position requires a hands-on, detail-oriented leader who values safety, teamwork, and service excellence aligning daily operations with Kualoa's core values of Aloha, Mālama, Po'okela, 'Ohana, and Laulima.
KEY RESPONSIBILITIES
Fleet Operations & Maintenance
  • Oversee all fleet maintenance, repairs, and preventative service schedules to ensure vehicle reliability and performance.
  • Direct and prioritize work assignments for the mechanics team, ensuring efficient use of resources, manpower, and time.
  • Maintain accurate service records, inspection logs, and equipment reports.
  • Monitor vehicle performance and troubleshoot issues related to mechanical systems, safety, and compliance.
  • Manage fleet inventory including fuel, parts, and equipment supplies.

Leadership & Team Management
  • Recruit, train, and mentor mechanics and fleet support staff.
  • Foster a positive team environment that promotes accountability, communication, and continuous improvement.
  • Conduct performance reviews, coach for professional growth, and ensure adherence to company policies and safety standards.
  • Coordinate cross-departmentally to ensure vehicle needs and priorities are met across the Ranch.

Safety & Compliance
  • Ensure compliance with all DOT, OSHA, EPA, and state/federal regulations.
  • Lead and document safety inspections, post-accident reviews, and internal audits.
  • Promote a culture of safety, conducting regular safety briefings and enforcing proper use of PPE and equipment.
  • Maintain updated fleet certifications, permits, and compliance files.

Administrative & Strategic Oversight
  • Develop and manage department budgets, including labor, fuel, and parts expenditures.
  • Review and approve payroll, billing, and vendor invoices.
  • Prepare operational and performance reports for leadership review.
  • Identify cost-saving opportunities through vendor negotiations, preventive maintenance, and process improvements.
  • Support fleet modernization and sustainability initiatives, including transitioning to more efficient or environmentally friendly equipment.

MINIMUM QUALIFICATIONS
  • Minimum 3-5 years of supervisory experience in fleet, transportation, or equipment maintenance operations.
  • Proven leadership in managing mechanic teams and coordinating cross-departmental fleet needs.
  • Strong knowledge of vehicle systems, maintenance schedules, and regulatory compliance (DOT, OSHA, EPA).
  • Excellent organizational and communication skills.
  • Proficiency in Microsoft Office and fleet management software (e.g., Fleetio or similar).
  • Valid Driver's License; CDL preferred.

PREFERRED QUALIFICATIONS
  • Technical or trade certification in automotive or diesel mechanics.
  • Experience managing a mixed fleet (on-road/off-road vehicles, UTVs, heavy equipment).
  • Familiarity with cost analysis and preventive maintenance planning.
  • Experience implementing sustainability or green fleet initiatives.

PHYSICAL REQUIREMENTS
  • Ability to lift and carry up to 75 lbs. and perform hands-on mechanical work as needed.
  • Comfortable working in outdoor environments and around heavy machinery.
  • Ability to stand, bend, and move for extended periods in a garage or field setting.
