Administrative & Coordination Support

  • Provide day-to-day administrative support for the Maintenance & Facilities department.
  • Maintain maintenance records, inspection logs, training records, work orders, preventive maintenance schedules, and department documentation.
  • Coordinate and track preventive maintenance activities to support equipment reliability and facility operations.
  • Assist with scheduling maintenance work, vendor visits, inspections, and facility-related projects.
  • Prepare reports, spreadsheets, presentations, and departmental communications.
  • Monitor department supply and tool inventory and coordinate purchasing or replenishment requests.
  • Maintain organized electronic and physical filing systems for maintenance and facilities documentation.
  • Support onboarding and training documentation for maintenance employees.

Facilities & Maintenance Support

  • Assist with facility inspections and follow up on corrective actions.
  • Support planning and coordination of facility improvement projects, equipment moves, and maintenance shutdown activities.
  • Track service requests and help ensure timely completion of maintenance tasks.
  • Coordinate with outside vendors, contractors, and service providers as directed.
  • Assist in monitoring compliance with company safety standards and facility procedures.
  • Participate in departmental audits, safety initiatives, and continuous improvement efforts.
  • Perform basic facility or maintenance support tasks as needed and within skill level.

Communication & Customer Service

  • Serve as a point of contact for internal maintenance and facility requests.
  • Communicate professionally with employees, leadership, contractors, and vendors.
  • Support positive working relationships across departments.
  • Maintain confidentiality of sensitive business and employee information.

Additional Responsibilities

  • Support special projects and departmental initiatives.
