Our established assisted living community in Silver Bay, MN, is seeking a Full-Time Administrative Coordinator to join our team.
Hours are Monday - Friday, 8:00 AM - 4:30 PM

Position Summary As the Administrative Coordinator, you will be the first point of contact for staff, residents, families, and visitors. This role is key to keeping our community running smoothly and creating a warm, welcoming environment.
Primary Responsibilities:
  • Greet and assist visitors, answer phone calls, and manage general inquiries
  • Schedule and conduct tours for prospective residents and families
  • Assist leadership with staffing needs, scheduling, and payroll preparation
  • Support recruitment and hiring by setting up new employee files and maintaining personnel records
  • Manage petty cash transactions and monthly reporting
  • Prepare deposit reports and process bank deposits
  • Complete reports, clerical duties, and filing accurately and on time
  • Utilize systems such as Residex, Isolved, and Educare to support operations
  • Sort, route, and send mail, packages, and correspondence
  • Order office supplies and promotional materials as needed

Qualifications:
  • Reliability, professionalism, and a passion for working with seniors
  • Minimum of 2 years administrative experience (healthcare setting preferred)
  • Post-high school education required; advanced degree preferred
  • Strong computer proficiency with Microsoft Office
  • Ability to meet physical requirements of the role
  • Must successfully complete a DHS and criminal background study

Physical Essential Functions:
  • Sit or stand at a computer for up to 8 hours
  • Move within the office to access files, equipment, and supplies
  • Regularly operate office equipment such as copy machines, scanners, and printers
  • Communicate effectively in writing, over the phone, and in person
  • Make informed decisions and interpret data as needed
