Job description

First Star Safety is seeking an experienced, detail-oriented Project Accountant to support the financial and administrative operations of our growing traffic safety and roadway services organization. This role will be responsible for overseeing project billing, contract administration, project financial tracking, and customer invoicing across multiple divisions including Pavement Marking, Maintenance of Traffic (MOT), equipment rentals, and related roadway service operations. 

This is a highly collaborative, in-office role that works closely with Operations, Estimating, Payroll, Billing, and Executive Leadership to ensure accurate project setup, billing compliance, revenue tracking, and contract execution throughout the project lifecycle. 

The ideal candidate has prior construction accounting experience, understands project-based billing environments, and is highly proficient in Deltek ComputerEase. 

Essential Responsibilities 

Project Billing & Accounting 

  • Manage all project billing functions across multiple service divisions including Pavement Marking, MOT, Rentals, and related operations  
  • Prepare and submit customer invoices accurately and timely in accordance with contract requirements  
  • Review daily field reporting, work orders, tickets, and supporting documentation for billing accuracy  
  • Track project costs, committed costs, change orders, and billing status  
  • Monitor contract values, retainage, and project profitability  
  • Coordinate with Operations and Project Management regarding billing discrepancies, missing documentation, and job cost concerns  
  • Assist with month-end close processes related to project accounting  
  • Maintain organized electronic project financial records and supporting documentation  

Contract Administration 

  • Review customer contracts, subcontract agreements, purchase orders, and related documentation  
  • Track contract requirements including insurance compliance, billing requirements, subcontractor documentation, lien waivers, and project closeout requirements  
  • Maintain accurate project setup within Deltek ComputerEase  
  • Assist with change order tracking and contract modifications  
  • Coordinate with customers and internal stakeholders regarding contract compliance and project administration  
  • Support audit requests and financial documentation gathering as needed  

Operational Support 

  • Partner closely with Operations and Leadership to improve project financial visibility and reporting  
  • Identify process improvement opportunities within billing and contract workflows  
  • Support implementation and maintenance of accounting and project management procedures  
  • Assist with internal reporting and project status tracking  

Qualifications 

Required 

  • Minimum 3+ years of construction accounting or project accounting experience  
  • Prior experience in the construction, roadway, infrastructure, or specialty contracting industry required  
  • Strong working knowledge of project billing, job costing, and contract administration  
  • Experience using Deltek ComputerEase is required  
  • Strong Microsoft Excel skills  
  • Ability to manage multiple projects and deadlines simultaneously  
  • Strong organizational skills and attention to detail  
  • Ability to communicate professionally with customers, field operations, and internal leadership  
  • Ability to work independently while maintaining accountability and accuracy  

Preferred 

  • Experience working within union or prevailing wage environments  
  • Experience supporting roadway, MOT, pavement marking, or heavy civil construction operations  
  • Familiarity with subcontract management and change order administration  
  • Understanding of project lifecycle accounting and WIP reporting
