Position Information
  • Job Title: Receptionist
  • Department: Administrative/Clerical Support
  • Reports To: Principal
  • FLSA Status: Non-Exempt
  • Employment Status: Full-Time
  • Typical Schedule: Monday - Friday; standard school operational hours (approx. 40 hours per week), with occasional evenings/weekends for special school events as needed.
Position Summary
The Receptionist serves as the heart of the school's front office. This role provides a welcoming, professional, and Christ-centered environment for students, parents, staff, and visitors while managing student records, enrollment processes, daily school attendance, and general campus operations.
Essential Job Functions & Responsibilities
1. Front Office Operations & Hospitality
  • Serve as the primary receptionist for the school office.
  • Manage incoming telephone calls, triage inquiries, take accurate messages, and route communication to appropriate faculty or staff.
  • Oversee campus visitors, ensuring all guests, volunteers, and vendors sign in/out.
  • Maintain a clean, organized, and professional reception area and main school office.
  • Process tardy slips, early dismissals, and manage student traffic in the front office.
2. Enrollment, Registration & Student Records Management
  • Manage Saint Jerome's FACTS database, ensuring all student, family, and emergency contact information is current and accurate.
  • Oversee new student inquiries, registration, admissions, and re-enrollment processes.
  • Maintain cumulative files, transcripts, and academic records.
  • Transfer student records and transcripts to and from other educational institutions.
3. Administrative & Principal Support
  • Provide administrative and operational support, including calendar management and scheduling meetings.
  • Prepare, edit, and distribute official school communications.
  • Coordinate school space usage and logistics for school events (e.g., Back-to-School nights, Parent-Teacher conferences, graduation).
4. Financial Management and Support
  • Receive, record, and process administrative school funds (e.g., athletic fees, field trip payments, extended care fees, and student activity funds).
  • Maintain accurate records of incoming funds and coordinate closely with the Parish/School Business Manager.
  • Assist with tracking general office expenditures and compiling receipts.
Requirements
Knowledge, Skills, and Abilities
  • Working knowledge of Catholic school structures, operations, and the mission of Catholic education.
  • Exceptional organizational, prioritization, and time-management skills with the ability to manage frequent interruptions.
  • Strong written and verbal communication skills, with the ability to prepare professional correspondence and school-wide communications.
  • Proficiency with Google applications (Gmail, Calendar, Docs, Sheets, Slides, etc) and shared cloud storage (Drive).
  • Demonstrated proficiency with specialized educational software, including FACTS (SIS) and enrollment platforms.
  • Ability to communicate effectively in English; bilingual (English/Spanish) skills are highly preferred and beneficial to the Saint Jerome community.
Minimum Qualifications
  • Associate or bachelor's degree preferred, or equivalent relevant administrative experience.
  • Minimum of 2-3 years of experience in an administrative support, office management, or registrar role (experience in a school or faith-based nonprofit environment is desirable).
  • Active, practicing Catholic in good standing who fully supports the teachings, mission, and values of the Roman Catholic Church.
  • Must successfully complete all diocesan Safe Environment training and background screening requirements.
