Summary:
The Operations Support Specialist Qualifications will provide daily operational support to the OASA IE&E which includes ODASAs and not limited to meeting and schedule/calendar coordination, facilities and equipment management, and meeting logistics support.
Responsibilities
Essential Job Functions:
  • Coordinate travel using the Defense Travel System (DTS) across the organization
  • Tracking and maintaining records of travel obligations and expenses for reporting purposes
  • Coordinate transportation by liaising with Washington Headquarters Services Executive Services Directorate utilizing the Pentagon Motor Pool
  • Schedule and reserve secure and non-secure conference rooms for classified and unclassified meetings
  • Develop, implement, and maintain administrative Standard Operating Procedures (SOPs), internal controls, and records management protocols for organizational documentation
  • Develop, draft, and prepare decision-ready/read-ahead materials including executive summaries (EXSUMs), briefing books, talking points, memorandums, and secure meeting packets
  • Maintain roster of current team members and their responsibilities
  • Track and manage internal taskers, correspondence, and reporting requirements using SharePoint, Correspondence and Task Management System (CATMS), or Task Management Tool (TMT) platforms
  • Serve as the primary administrative official supporting planning, coordination, and execution of internal and external engagements
  • Coordinate with IE&E staff and external stakeholders on IT systems, Audio Visual/Video Teleconferencing (AV/VTC) technology, and scheduling platforms
  • Support organizational assessments, process reviews, and special projects on behalf of the leadership.
  • Provide additional administrative support as required during surge or continuity operations

Qualifications
Necessary Skills and Knowledge:
  • Proficiency using Microsoft Office Suite, SharePoint, Microsoft Teams, and workflow platforms (e.g., Task Management Tool (TMT) and Correspondence and Task Management System (CATMS))
  • Strong writing, editing, and executive communication skills
  • Strong organizational skills and experience supporting Political Appointees, Senior Executive Service (SES) or Flag/General Officers
  • Knowledge of Army Secretariat administrative procedures and executive support protocols
  • Ability to proactively manage taskings, logistics, and operational challenges

Minimum Qualifications:
  • Bachelor's degree and a minimum of 5 years of relevant experience supporting senior Government Officials
  • Experience preparing travel documents and managing authorizations in the Defense Travel System (DTS)
  • Active SECRET security clearance
