Job description

Position Summary:
Analytic Services, Inc. (ANSER) is seeking a Senior Office Administrator to work in support of the Department of War Chief Information Officer.
This position requires job duties be performed full-time onsite at the Pentagon with no hybrid or remote work options.

Day to Day Responsibilities:

  • Assisting government personnel with administrative systems, file systems, organizational documentation, records management and read ahead binders
  • Operational duties related to human resources, IT, security, and facilities management:
    • Answering and routing phone calls and greeting/escorting guests
    • In-processing new personnel (DD1172, DD2249, DD2875)
    • Requesting and managing all government furnished equipment for new employees
    • Suite access, SCIF maintenance, and burn bag destruction
    • Resolution of IT and network issues
    • Off-boarding departing personnel
  • Reviewing staff actions and correspondence drafted for the principal to ensure clarity and that the principal's position is clearly reflected
  • Drafting correspondence and contributes to the preparations of reports and presentations
  • Using the appropriate task management system (CATMS, Microsoft Planner, etc.) to provide tasking management support, including coordinating with other directorates; compiling and quality checking Staff Action Packages; tracking the status of packages as they move through the system; and prepare periodic reports as to the status of the Staff Actions; and follow up on Staff Actions when required to ensure actions are completed in a timely manner
  • Providing routine briefs on office activities and upcoming deliverables.
  • Referring correspondence documents to the appropriate offices and/or personnel for response through the Correspondence and Task Management System (CATMS)
  • Developing, monitoring, updating, implementing, and maintaining an internal suspense tracking system for correspondence, memos, letters and other documents and projects received
  • Providing written products in accordance with DoW 5110.4-M Vol 1 DoW Manual for Written Material: Correspondence Management and DoW 5110.4-M Vol 2 DoD Manual for Written Material: Examples and Reference Material

Required Qualifications:

  • Possess an active TS/SCI security clearance
  • Bachelor's degree in a business, management, communications, political science, or similar related field plus at least 10 years of experience or ahigh school diploma plus 14 years of experience
  • 5+ years of experience supporting the Department of War, including demonstrated experience supporting  an Office of the Secretary of Defense (OSW) or Joint Staff environment
  • 3+ years of experience in an administrative, office management, or similar roles
  • Experience with CATMS or other Department of War task management tools

Preferred Qualifications:

  • Expert-level knowledge and execution of the English language for the formulation of all DoW correspondence mediums, (e.g., email and memos)
  • Knowledge of the structure and missions of the OSW and the Components
  • Highly proficient with the Microsoft Office Suite of applications, especially Word, PowerPoint, and Teams
  • Energetic self-starter with the ability to work in a fast-paced team environment, adapt to rapidly changing requirements, prioritize workload, and communicate effectively
