At ADICA Trucking the Service Writer / Shop Assistant position acts as a vital communication bridge between customers, drivers, and mechanics.


In this position you would be responsible for greeting customers and company drivers, documenting truck, and trailer issues, generating repair estimates, assisting in the managing of the shop workflow, communicating to dispatch several times a day regarding our fleet, customer communication, and processing customer transactions.


Core Responsibilities

  • Customer Intake: Greet customers and company drivers, listen to Tractor and Trailer issues, and ask clarifying questions to help technicians diagnose problems.
  • Estimate Generation: Calculate parts, labor, and materials costs to provide accurate quotes and timeframes.
  • Workflow Management: Schedule appointments, assign jobs to technicians based on skill levels, and monitor repair progress.
  • Communication: Communicate updates or additional repair needs to customers and the ADICA operations to get work approvals.
  • Billing & Records: Process invoices, explain the work performed, and handle warranty claims or payment collection.
  • Teamwork: Work closely with Shop manager and assistant shop manger to ensure that estimates and communication is sent out in a timely manner.
  • Inventory: Assist with cycle and yearly counts. Receiving parts into inventory correctly. Charging parts out on repair orders correctly.
  • Supplies: Order necessary supplies for the shop.


Key Skills & Qualifications

  • Heavy duty truck and trailer knowledge: Understanding of vehicle systems, DOT regulations, and repair processes. Then translate technical information into clear terms for customers and operations to make repair decisions.
  • Customer Service: Exceptional interpersonal and problem-solving skills to ensure high customer satisfaction and handle complaints.
  • Organizational Ability: Multitasking capabilities to juggle phone calls, walk-ins, and shop scheduling simultaneously and keep a clean and organized work area.
  • Computer Proficiency: Would like for the candidate to be proficient in the following programs, Outlook, Excel, Teams, Word, and FullBay.
  • Physical Requirements: Must be able to stand and sit for long periods of time – must be able to lift 50 lbs.
  • CDL – Not a requirement but is a plus.
