LOCATION: City of Los Angeles - General Services Department, Standards Division
WORK SCHEDULE: This position offers a full-time work schedule, 5/40 or 9/80 Monday-Friday
JOB DESCRIPTION:
The Management Assistant position is assigned to the Standards Division and assists in performing professional staff work by researching, assembling, evaluating, and interpreting data and by preparing correspondence and reports with recommendations to management on a wide variety of administrative, fiscal, budgetary and managerial problems. The incumbent will also take a role in preparing and tracking personnel-related documents for the Division, assisting with Workday tasks, using the City's Financial Management System (FMS) to process requisitions and purchases, preparing the Division's proposed budget packages, and various other budget/funding-related functions. The Standards Division Management Assistant supervises one or two Senior Administrative Clerks, and reports to the Director or Assistant Director of the Division.
DUTIES AND RESPONSIBILITIES:
  • Assists with the preparation and review of division budget requests, forecasts of future needs, and requests for interim appropriations, and maintains accounting and financial statistics and data for budget preparation and control purposes
  • Assists with the preparation and review of expenditure programs and adherence to the program throughout the fiscal year, and prepares and explains deviations
  • Prepares requisitions for expense and equipment items
  • Assists with developing, establishing and maintaining programs for retention and disposal of records
  • Maintains employee files, including disciplinary records
  • Assists with the administration of the invoicing system and tracking of revenues received from other City departments for work performed by the Division
  • May work closely with the Director and Assistant Director on matters including, but not limited to: the Division's annual budget, personnel issues, and reporting of monthly metrics
  • Maintains Standards Division employee roster and organization chart (80 employees)
  • Performs other related duties, as needed

REQUIREMENTS/MINIMUM QUALIFICATIONS:
Candidates for this position must be current City of Los Angeles employees with the civil service job classification of Management Assistant.
