Job description

Scope:
The Maintenance Planner/Buyer is responsible for coordinating maintenance planning activities while ensuring the timely procurement of maintenance, repair, and operations (MRO) materials, spare parts, and services. This role works closely with Maintenance, Engineering, Production, and vendors to minimize equipment downtime, maintain inventory accuracy, and support preventive and predictive maintenance initiatives. The Maintenance Planner/Buyer plays a critical role in optimizing maintenance efficiency through effective planning, scheduling, purchasing, and inventory management.

Responsibilities:
  • Plan and schedule preventive, predictive, and corrective maintenance work.
  • Coordinate maintenance activities with production to minimize operational disruptions.
  • Develop detailed work plans, including labor, materials, equipment, and estimated completion times.
  • Ensure all required parts and materials are available before scheduled maintenance begins.
  • Maintain maintenance schedules within the CMMS (Computerized Maintenance Management System).
  • Assist in planning plant shutdowns, outages, and major maintenance projects.
  • Review completed work orders for accuracy and completeness.
  • Purchase maintenance, repair, and operating (MRO) supplies, spare parts, tools, and contracted services.
  • Obtain competitive quotes and negotiate pricing, delivery schedules, and supplier terms.
  • Create and manage purchase orders.
  • Expedite critical orders to minimize downtime.
  • Build and maintain strong supplier relationships.
  • Evaluate vendor performance regarding quality, pricing, and delivery.
  • Identify cost-saving opportunities without compromising quality or reliability.
  • Maintain accurate MRO inventory levels.
  • Monitor inventory usage and reorder points.
  • Conduct routine inventory audits and cycle counts.
  • Identify obsolete or excess inventory.
  • Work to standardize commonly used maintenance parts.
  • Ensure critical spare parts are available for key production equipment.
  • Collaborate closely with Maintenance Supervisors, Technicians, Engineering, and Production.
  • Communicate material availability and project timelines.
  • Coordinate outside contractors and service providers as needed.
  • Track maintenance KPIs such as schedule compliance, inventory turns, downtime, and purchasing metrics.
 
Requirements:
  • Ability to walk throughout a manufacturing facility.
  • Occasionally lift up to 25 pounds.
  • Ability to climb stairs and access production areas.
  • May occasionally be exposed to noise, dust, heat, and industrial equipment while following all required safety procedures.

Required:
  • High School Diploma or Equivalency Degree.
  • Bachelor’s degree in Business Administration, or applicable experience in lieu of degree.

Preferred:
  • Experience in an industrial/manufacturing environment.
  • Purchasing experience Industrial manufacturing setting.
  • Working with and supporting cross-functional teams.
 
Skills Preferred:
  • SAP experience.
  • APICS/ASCM certification (CPIM or CSCP).
  • Purchasing certification (CPPB, CPSM, or equivalent).
  • Lean Manufacturing or Continuous Improvement experience.
  • Knowledge of preventive and predictive maintenance practices.
