Job Description Summary

University Advancement is seeking a versatile Student Assistant to support both front-desk operations and divisional mailroom logistics. This dual role is responsible for providing a professional first impression by greeting guests and managing inquiries, while also handling the technical and physical aspects of advancement operations. Key duties include managing incoming and outgoing mail, performing campus mail runs, accurately entering or updating constituent information-such as addresses and phone numbers-for the Gifts and Records team, and coordinating office activities

Valid US Driver's License

Minimal training or prior knowledge of work is required.

Additional Position Information (if applicable)

For Fall 2026 we are specifically seeking candidates with availability Tuesday and/or Thursday mornings, and/or anytime Wednesday.
Front Desk & Office Support

  • Office Hospitality: Serve as the first point of contact for University Advancement; greet and welcome donors, alumni, and guests with a professional and helpful demeanor.

  • Operational Assistance: Provide support for various office activities to ensure the smooth daily operation of the division.

Mailroom & Logistics

  • Distribution: Receive, sort, and deliver all incoming mail and packages to the appropriate units within the division.

  • Mail Preparation: Assist in the assembly and preparation of outgoing divisional mailings, ensuring accuracy and timeliness.

  • Campus Deliveries: Perform regular mail runs across campus to ensure the timely flow of documents between departments (valid driver's license required).

Data Management & Research

  • Information Integrity: Enter and update constituent data (e.g., changes of address, phone numbers, and email) within the Advancement database for the Gifts and Records team.

  • Specialized Project Support: Assist University Advancement staff with complex projects that may include building spreadsheets, managing data sets, and performing research on alumni, friends, or corporations using LinkedIn and other digital resources.

  • Research & Accuracy: Review source documents and online platforms to ensure all information is updated accurately, maintaining high standards for data quality and privacy.

Other Duties

  • Perform additional duties as assigned to support the goals of the University Advancement team.

Qualifications & Skills:

  • Strong communication and organizational skills, with the ability to manage multiple tasks effectively

  • Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion

  • Proficiency in Microsoft Office applications, including Word and Excel

  • Ability to take initiative, assume responsibility, and work independently on assigned projects
