Job Summary (List Format): Administrative Assistant
- Operate switchboard/communication systems to answer, direct, and transfer calls to appropriate departments or personnel.
- Manage visitor check-ins and perform general administrative tasks such as taking messages, providing information, and maintaining records.
- Handle emergency calls, monitor alarms, and manage paging systems as needed.
- Sort mail and provide basic customer service to claimants and visitors.
- Locate specialized doctors near claimants and schedule consultative examinations (CE), including making follow-up calls and coordinating appointments.
- Prepare and assemble CE packets for mailing; fax paperwork to doctors as required.
- Respond to inquiries from claimants, vendors, and other sources regarding claim status or transportation assistance (e.g., mailing bus passes).
- Contact claimants to advise them of appointments and outstanding paperwork.
- Communicate with doctors for follow-up reports, hospitals for authorizations/reports, and attorneys for status updates.
- Assist supervisors and claim adjudicators by contacting relevant parties (claimants, attorneys, medical sources) as directed.
- Track and ensure completion of daily assignments using a tracking system.
- Conduct case development activities requiring analysis and judgment.
- Position may transition to a hybrid work schedule after completion of training.
- Additional Requirements: Local candidates only; must be available for in-person interviews and able to start within 2 weeks of offer. Intense internal background check required (may take up to a month).
