Description:

Summary

The employee in this position is responsible for processing, sorting, scanning, tracking, and delivering incoming and outgoing mail and packages while ensuring accuracy, confidentiality, and timely service. This role supports daily mail center operations by maintaining organized workflows, operating mail equipment, and providing exceptional customer service. The ideal candidate must be capable of working in a fast-paced environment and will be expected to uphold the Standards of Service and best practices developed by OMG.


Essential Duties and Responsibilities

  • Receive, sort, and distribute incoming mail and packages.
  • Process outgoing mail using the appropriate postage class and shipping methods.
  • Scan, label, and track incoming and outgoing packages using designated software and logs.
  • Verify recipient information and ensure proper routing of mail and deliveries.
  • Deliver mail, packages, and confidential documents throughout the facility in a timely manner.
  • Operate mail processing equipment, scanners, postage machines, and shipping systems.
  • Prepare packages for shipment, including labeling, documentation, and chain of custody procedures.
  • Maintain accurate records and daily documentation related to mail processing activities.
  • Research and resolve misrouted or undeliverable mail and packages.
  • Perform routine cleaning and preventative maintenance of mailroom equipment and work areas.
  • Process and distribute sensitive financial department mail, including payroll and accounts payable correspondence.
  • Maintain confidentiality when handling sensitive or protected information.
  • Monitor and respond to customer inquiries while providing exceptional internal customer service.
  • Adhere to all company policies, safety procedures, and Standards of Excellence.
  • Perform miscellaneous duties as assigned by the Field Support Supervisor or Account Manager.

Qualifications

  • High School Diploma or equivalent required.
  • Previous mailroom, shipping/receiving, scanning, warehouse, or office support experience preferred.
  • Familiarity with USPS, FedEx, UPS, and other shipping procedures preferred.
  • Basic computer skills, including Microsoft Outlook, Word, and Excel.
  • Experience using mail tracking or shipping software is a plus.
  • Strong reading, writing, and basic math skills.
  • Ability to work efficiently in a deadline-driven environment.

Physical Demands

  • Fine and gross motor skills, including the ability to grasp, lift, push, pull, and move mail trays, packages, and equipment.
  • Ability to walk, bend, kneel, stoop, stand, and sit for extended periods throughout the workday.
  • Manual dexterity required to operate scanners, postage equipment, copiers, computers, and other office machinery.
  • Ability to lift and carry up to 50 pounds on a regular basis.
  • Ability to push wheeled mail carts weighing up to 100 pounds.
  • Ability to safely transport mail and packages throughout the facility.
