Administrative / General Clerk II
Full Time | Onsite | Camp Springs, MD | SECRET Clearance
The Administrative / General Clerk II provides comprehensive clerical, mail, records, and administrative support to agency headquarters offices. This role supports day-to-day office operations, mail and file management, records tracking, and administrative coordination while ensuring strict compliance with agency policies, security requirements, and records management standards. The position routinely handles sensitive and personally identifiable information (PII) and requires a high level of accuracy, discretion, and organizational skill.
KEY RESPONSIBILITIES:
Mail Operations & Records Handling
  • Receive, process, sort, log, secure, and distribute incoming and outgoing mail, including registered, certified, express, and courier deliveries
  • Safeguard and process classified and unclassified mail in accordance with agency Mail Management Guidance and NISPOM requirements
  • Log, secure, store, and deliver classified materials and A-Files to authorized personnel
  • Prepare, package, label, and ship materials via USPS, UPS, FEDEX, and courier services
  • Transport mail and unclassified but sensitive files between agency HQ offices
  • Maintain mail logs, inventory, and distribution records
File Operations & Records Management
  • Receive, store, retrieve, track, and distribute physical and electronic files in accordance with agency Records Management Policy
  • Create, validate, consolidate, interfile, and audit A-Files
  • Update and reconcile file locations and movements in agency systems (e.g., RAILS, CIS, ELIS, C3)
  • Fulfill internal and external file requests within established timelines
  • Conduct manual searches, file pulls, transfers, and audits
  • Prepare files for shipment to authorized offices and records centers
Administrative & Office Support
  • Provide front desk coverage, answer phones, screen inquiries, and receive visitors
  • Monitor shared email inboxes and route communications appropriately
  • Maintain electronic and paper filing systems
  • Draft, proofread, and format correspondence, reports, memos, and presentations
  • Compile data and prepare routine, periodic, and ad hoc reports
  • Support meeting logistics, scheduling, agendas, note-taking, and follow-up
  • Assist with travel authorizations, vouchers, country clearances, and visa documentation
  • Support time and attendance processing as a Timekeeper, including data entry, validation, and profile management
  • Track office supplies, assets, and property inventory using agency systems
  • Assist with packing, labeling, and movement of materials and boxes
Property, Program & Operational Support
  • Maintain and audit property inventory records using the Sunflower Asset Management System (SAMS)
  • Track assets, prepare shipping documentation, and confirm delivery
  • Assist with awards programs, training support, organizational charts, and internal communications
  • Maintain distribution lists, intranet content, and program documentation
  • Support continuity of operations, emergency procedures, and security requirements
Compliance & Security
  • Safeguard sensitive, FOUO, and PII information at all times
  • Report security incidents, equipment malfunctions, or suspicious activity promptly
  • Comply with agency policies, COOP, EOP, and security plans
  • Operate and perform basic maintenance on shared government equipment

EDUCATION AND EXPERIENCE:
Education: High School Diploma or GED (required)
Experience:
  • Minimum of four (4) years of clerical, administrative, mailroom, or records management experience.
  • Experience supporting a federal agency or government contractor is preferred.
  • Experience handling sensitive information and working in secure environments.
Security & Clearance Requirement:
  • Active Secret Clearance required (must be able to obtain and maintain)
  • Must sign and adhere to nondisclosure and confidentiality agreement.

SKILLS AND QUALIFICATIONS:
  • Strong organizational and attention-to-detail skills
  • Ability to manage high volumes of mail, files, and administrative tasks accurately
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)
  • Ability to learn and use government systems and databases
  • Effective written and verbal communication skills
  • Ability to work independently and as part of a team
  • Ability to follow detailed procedures and meet strict deadlines
