Mail Room Clerk-JLL

What this job involves:

The Mail Room Clerk is responsible for managing all incoming and outgoing mail, packages, and courier services for JLL's Oracle account in Santa Clara. This role ensures timely, accurate, and secure delivery of correspondence and materials throughout the facility while maintaining professional service standards.

What your day-to-day will look like:

Mail and Package Operations:

  • Sort, distribute, and deliver incoming mail, packages, and courier deliveries to designated departments and individuals throughout the facility
  • Process outgoing mail, packages, and shipments using appropriate carriers (USPS, FedEx, UPS, DHL, etc.)
  • Operate postage meters, package scales, and other mailroom equipment
  • Track and maintain records of certified mail, registered mail, and package deliveries requiring signatures
  • Coordinate courier pickups and special delivery requests

Receiving and Distribution:

  • Receive, inspect, and log all incoming deliveries and shipments
  • Verify package contents against delivery documentation
  • Alert recipients of package arrivals through email, phone, or notification systems
  • Manage overflow storage of packages and materials
  • Handle confidential and sensitive materials with appropriate discretion

Mailroom Management:

  • Maintain organized mailroom workspace, including sorting bins, shelving, and storage areas
  • Keep accurate logs and records of all mail and package transactions
  • Process mail forwarding requests and address changes
  • Manage supplies inventory (envelopes, boxes, packing materials, postage)
  • Operate and maintain mailroom equipment in good working condition

Customer Service:

  • Provide courteous, professional service to all building occupants and visitors
  • Respond to inquiries regarding mail and package status
  • Assist with special mailing projects and mass distributions as needed
  • Coordinate with building management and Oracle representatives on mailroom needs

Safety and Compliance:

  • Follow all safety protocols when handling packages and operating equipment
  • Identify and report suspicious packages or mail according to security procedures
  • Maintain security of mailroom access and materials
  • Comply with USPS regulations and carrier guidelines

Required qualifications:

  • High school diploma or equivalent
  • 1-2 years of mailroom, warehouse, or logistics experience
  • Basic computer skills including email and data entry
  • Strong attention to detail and organizational skills
  • Excellent time management and ability to prioritize tasks
  • Physical ability to stand and walk for extended periods, frequently bend, reach, and lift, and use manual dexterity to push mail carts, move packages, and sort mail of various sizes throughout the facility.

Preferred qualifications

  • Experience with postage meter systems and shipping software
  • Familiarity with corporate mailroom operations
  • Knowledge of USPS, FedEx, and UPS shipping procedures
  • Experience working in a client-facing role

Schedule: This is a full-time position, typically Monday through Friday

7:30AM- 4:30PM, with occasional flexibility required to accommodate client needs, peak periods, or special projects.

Location: Santa Clara,CA

Estimated compensation for this position:

59,400.00 - 71,100.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
