The Opportunity

The Mail Operations Specialist is responsible for the accurate, timely, and secure processing of incoming and outgoing mail, packages, and document scanning services. This role supports daily business operations by collaborating with internal stakeholders, maintaining mailroom organization, and ensuring compliance with safety, security, and information handling standards.

A Day in the Life

Mail & Package Processing
  • Receive, sort, and distribute all incoming USPS mail in a timely manner.
  • Process and deliver incoming packages throughout the site.
  • Prepare and ship all outgoing mail and packages using approved carriers.
  • Track and document all outgoing shipments.
  • Demonstrate a working knowledge of shipping options and provide cost-effective alternatives when appropriate.
  • Collaborate with internal stakeholders to ensure accurate execution of mail and package requests.
  • Maintain adequate inventory of mailroom supplies and materials.
Scanning & Document Services
  • Scan documents per departmental requests and established specifications.
  • Ensure accurate indexing, file naming, and quality control of scanned documents.
Documentation & Storage Coordination
  • Coordinate requests related to document storage and retrieval.
  • Support proper handling and organization of physical records in accordance with company guidelines.
Mailroom Operations & Support
  • Maintain organization, cleanliness, and efficiency of the mailroom area.
  • Operate mailroom equipment including postage meters, scanners, photocopiers, and pallet jacks (manual and powered).
  • Provide backup assistance to the team as needed, including vendor escorting, guard coverage, and other assigned operational support tasks.
Safety, Security & Compliance
  • Identify and report workplace risks to appropriate team members or management.
  • Actively manage and monitor risks within the scope of responsibility, including information security risks.
  • Follow all safety, security, and handling procedures related to mail, packages, and documentation.
Additional Responsibilities
  • After-hours work may be required on occasion.
  • Minimal travel may be required.
  • Perform other related duties as assigned.

Qualifications

  • Required: High School Diploma or GED
  • Minimum of 3 years of experience in a related field (mailroom, shipping/receiving, operations, or administrative support)
  • Preferred: Associate degree
  • 5 years of relevant work experience
  • Prior administrative or operational support experience
  • Strong organizational and time-management skills
  • Ability to manage multiple tasks with varying priorities
  • Effective verbal and written communication skills
  • Ability to work independently with minimal supervision
  • Adaptability to changing workloads and priorities
  • Strong problem-solving skills and attention to detail
  • Ability to interact professionally with employees at all levels
  • Comfortable working with multiple software applications
  • Technical aptitude
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook)
  • The employee is regularly required to sit; use hands to finger, handle, or feel objects; and communicate effectively through speaking and hearing.
  • Specific vision abilities required include close vision.
