Description

The successful candidate will partner closely with Hiring Managers, Human Resources, Finance, IT, Procurement, staffing suppliers, and Managed Service Providers (MSPs) to ensure contingent workers are onboarded, managed, and offboarded efficiently while maintaining strong financial controls and data integrity. The ideal candidate is detail-oriented, process-driven, technologically savvy, and embraces an AI-first mindset by leveraging modern productivity tools to improve efficiency, automate repetitive work, and enhance decision-making. Key Responsibilities Administer the organization's Vendor Management System (currently SAP Fieldglass), including worker records, work orders, amendments, extensions, and lifecycle updates. Review and validate work order approvals for location, rate codes, cost centers, spend limits, and required approvals. Coordinate contingent worker onboarding, including EMP ID creation and HR Records requests. Manage contractor offboarding, including termination processing, final timesheet verification, and work order closure. Monitor work order end dates and proactively coordinate extensions or worker exits. Process weekly timesheets and resolve exceptions. Manage the shared operations mailbox and process termination reports, new start reports, Oracle comparison reports, and related operational requests. Reconcile workforce data between the VMS and internal HR/ERP systems to maintain data integrity. Partner with staffing suppliers regarding open requisitions, onboarding, extensions, offboarding, and operational issues. Prepare visa support letters and employment verification documentation as required. Maintain financial hygiene by ensuring accurate work orders, spend validation, approvals, and reporting. Identify opportunities to improve operational efficiency, data quality, and business processes, including leveraging AI-enabled tools where appropriate. Required Qualifications Bachelor's degree or equivalent professional experience. 3–7 years of experience supporting contingent workforce programs, workforce operations, MSP operations, staffing operations, procurement operations, HR operations, or vendor management. Experience administering or supporting a Vendor Management System (VMS) such as SAP Fieldglass, Beeline, Workday VNDLY, IQNavigator, VectorVMS, SimplifyVMS, Magnit, or similar platforms. Strong understanding of contingent workforce lifecycle management. Advanced Microsoft Excel skills (Pivot Tables, XLOOKUP/VLOOKUP, reporting, data analysis). Excellent organizational, analytical, and communication skills. Strong attention to detail and ability to manage multiple priorities. Demonstrated business acumen and commitment to financial hygiene. AI-first mindset with experience using tools such as Microsoft Copilot, ChatGPT, Google Gemini, Claude, or similar AI assistants to improve productivity. Preferred Qualifications Experience with SAP Fieldglass is strongly preferred. Experience working with an MSP-managed contingent workforce program.
