JOB DETAILS

Starting Pay: $19.00 per hour

Shift: 1st shift  Monday-Friday and some Saturdays. 8 hour shift. 700AM-330PM

JOB DUTIES AND RESPONSIBILITIES
The Office Planning Administrator supports daily production and operational planning activities to ensure efficient workflow, timely communication, and accurate data management across departments. This role serves as a central point of coordination between Operations, Customer Service, Shipping, and Planning by managing schedules, supporting shipment documentation, monitoring service performance metrics, and assisting with order escalations and expedited requests..

Production Planning & Scheduling

  • Print, copy, organize, and distribute daily production schedules for Operations teams.
  • Transmit production schedules accurately within the Warehouse Management System (WMS).
  • Support schedule updates and ensure operational teams receive current planning information.
  • Maintain organized records of schedules and planning documentation.

Shipping & Documentation Management

  • Scan, upload, and maintain documentation for Less Than Truckload (LTL) shipments.
  • Verify shipping records are complete and accessible for internal tracking and customer inquiries.
  • Assist with shipment status updates and coordination between departments.

Customer Service & Escalation Support

  • Manage and coordinate escalations received from Customer Service regarding order status, delivery concerns, backorders, and expedite requests.
  • Communicate with internal departments to gather updates and provide resolution timelines.
  • Support proactive communication to minimize delays and improve customer experience.

Expedited Order Coordination

  • Conduct operational walk-throughs to identify opportunities to support expedite requests.
  • Coordinate with production and shipping teams to determine feasibility and timelines for expedited orders.
  • Escalate constraints and recommend solutions to meet customer expectations.

Performance Reporting & Data Management

  • Manage and maintain On-Time In-Full (OTIF) performance data.
  • Track and report key service and operational metrics.
  • Analyze trends and support continuous improvement initiatives related to delivery performance and schedule adherence.
  • Prepare reports and provide data insights to leadership as requested.

Administrative Support

  • Maintain accurate files, records, and departmental documentation.
  • Support cross-functional communication between Planning, Operations, Shipping, and Customer Service teams.
  • Perform additional administrative and operational support duties as assigned.
Qualifications
  • High school diploma or equivalent required; Associate’s degree preferred.

  • 2+ years of administrative, planning, operations support, logistics, manufacturing, or customer service experience preferred.
  • Experience working in a manufacturing, warehouse, or production environment is a plus.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.

  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Experience working with Warehouse Management Systems (WMS) or ERP systems preferred.
  • Strong attention to detail and data accuracy.
  • Effective verbal and written communication skills.
  • Ability to manage escalations professionally and collaborate across departments.
  • Analytical mindset with experience tracking and interpreting operational metrics (OTIF preferred).
  • Ability to work independently and in a fast-paced environment
  • Office environment with frequent interaction with warehouse and production teams.
  • May require walking production areas to support expedited order reviews and operational coordination.
