Position Overview

The Incentive Program Coordinator is responsible for the administration, analysis, reconciliation, and reporting of dealer incentive programs. This position supports the company’s dealer client network by ensuring accurate program execution, timely payments, compliance with contractual guidelines, and operational efficiency across incentive-related processes. The ideal candidate possesses strong analytical capabilities, financial acumen, and the ability to work cross-functionally in a fast-paced automotive services environment.


Essential Duties & Responsibilities

  • Administer and maintain dealer incentive, participation, and performance-based compensation programs
  • Review, validate, and process incentive payments in accordance with company policies and contractual agreements
  • Analyze dealer production data and program performance metrics to ensure payment accuracy
  • Reconcile incentive balances, identify variances, and resolve discrepancies in a timely manner
  • Prepare recurring financial, operational, and ad hoc reporting for leadership and internal stakeholders
  • Partner with Accounting, Sales, Marketing, and Web Development teams to support accurate program administration and portal development
  • Manage the website portal functionality and work with the offshore web development team on updates, tweaks, reporting, and automation needs.
  • Audit dealer activity, transactions, and supporting documentation for compliance with established guidelines
  • Assist in the implementation, testing, and rollout of new incentive initiatives and program enhancements
  • Maintain organized records of dealer agreements, program structures, and payment schedules
  • Respond professionally to client and internal inquiries regarding incentive calculations, reporting, and eligibility
  • Identify process improvement opportunities to enhance operational efficiency and reporting accuracy
  • Collaborate with executive leadership on loyalty program initiatives, new client launches, updates, and reporting
  • Perform general administrative tasks to support the quality of the program


Qualifications

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of 3+ years of experience in loyalty program management, IT support operations, client services support, or related role.
  • Strong project management capabilities with a high degree of organization and process creation
  • Experience building a loyalty program from scratch a huge plus
  • Strong analytical and reconciliation skills with high attention to detail required
  • Must be technologically-savvy with a basic understanding of web development
  • Must be able to communicate effectively with offshore web development teams
  • Advanced proficiency in Microsoft Excel and financial reporting tools
  • Must have strong client-facing communication skills and ability to collaborate internally with cross-functional teams.
  • Experience with a CRM platform preferred.
  • Ability to interpret agreements, program structures, and financial data
  • Excellent organizational, communication, and problem-solving skills
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment


Preferred Qualifications

  • Experience supporting dealership or automotive F&I programs
  • Familiarity with vehicle service contracts, reinsurance structures, and dealer incentive models
  • Knowledge of dealership operations and automotive retail environments
  • Experience with CRM, ERP, or dealer management systems
