Role Description: The Assistant Manager, Trucking Operations reports directly to the Trucking Operations Manager. This position provides day-to-day support, backup coverage, and oversight to ensure the efficient execution of trucking, logistics, and fine art transportation services. The Assistant Manager works closely with project coordinators, drivers, art handlers, and clients to maintain operational excellence while supporting the continued growth of the department.


Essential Duties and Responsibilities:

  • Managing daily schedules through the company's proprietary Dispatch Calendar software and ensuring all jobs are properly booked, assigned, and staffed.
  • Preparing and verifying Bills of Lading, shipping labels, and supporting documentation; communicating with project coordinators and clients regarding scheduling and service timelines; and maintaining visibility of active routes and deliveries to proactively address operational challenges.
  • Providing direct support to field operations by communicating with Art Handler/Drivers, monitoring job progress, troubleshooting issues, and conducting pre-route briefings / post-route debriefings.
  • Responsible for researching job locations, building access requirements, and object-specific handling needs, while ensuring all necessary information is communicated clearly to field personnel.
  • Preparing daily warehouse pick lists and verifying that all property scheduled for transport is properly accounted for.
  • Supporting fleet and equipment management by monitoring vehicle inspections, coordinating maintenance and service schedules, managing operational supply inventories, and ensuring equipment readiness.
  • Administering the company's fleet telematics and GPS tracking platform.
  • Maintaining records within proprietary logistics software, managing file archives and condition report photography.


Qualifications

  • Experience in transportation or logistics operations, ideally in specialized or high-value goods such as fine art.
  • Strong organizational and scheduling skills, with the ability to manage multiple routes, drivers, and deadlines.
  • Effective communication and collaboration skills for working with drivers, warehouse staff, and client-facing teams.
  • Knowledge of trucking safety regulations, vehicle compliance requirements, and basic fleet management practices.
