Position SummaryThe Dispatch & Scheduling Coordinator is responsible for coordinating emergency and scheduled restoration services, maintaining technician schedules, supporting project managers, and ensuring exceptional communication with customers and team members throughout the restoration process.
This position plays a critical role in the success of our daily operations and directly impacts customer satisfaction, production efficiency, and team performance.
Primary ResponsibilitiesResponsibilities include:
  • Coordinate and dispatch restoration technicians and production crews for emergency and scheduled services.
  • Build and maintain efficient daily schedules while maximizing technician productivity.
  • Continuously adjust schedules as emergency calls and priorities change throughout the day.
  • Coordinate scheduling with Project Managers and department leaders.
  • Communicate appointment times, delays, and scheduling updates with customers professionally and promptly.
  • Answer incoming customer calls and gather accurate job information.
  • Monitor emergency calls and assist with occasional after-hours dispatch support.
  • Maintain accurate scheduling information within WorkCenter 2.0 and other company software.
  • Verify work orders and job information before dispatching crews.
  • Coordinate equipment availability and logistical needs with production teams.
  • Monitor technician availability, routing, and workload distribution.
  • Support Project Managers with administrative coordination.
  • Collaborate with every department to ensure outstanding customer service.
  • Assist with general office responsibilities as business needs require.
QualificationsWe're looking for someone who has:
  • Two or more years of dispatching, scheduling, logistics, customer service, office coordination, or similar experience preferred.
  • Excellent organizational and time-management skills.
  • Strong communication and customer service abilities.
  • Professional telephone etiquette.
  • The ability to prioritize multiple responsibilities in a fast-paced environment.
  • Strong computer skills, including Microsoft Office.
  • High attention to detail and excellent follow-through.
  • Sound judgment and the ability to make decisions under pressure.
  • A positive attitude and willingness to support the team.
Experience in restoration, construction, HVAC, plumbing, logistics, transportation, or another service-based industry is a plus but not required.
