The School
As New York City’s only charter high school that is both a transfer school and a fully embedded community school in partnership with The Door. BSA serves over-age, under-credited students who deserve rigorous academic pathways alongside comprehensive wraparound support. The Director of Operations will serve as the strategic architect of our non-academic functions. This leader will design, oversee, and optimize the critical compliance, facility, logistical, financial, and purchasing systems that power BSA, while managing the operations team to ensure a seamless, high-service experience

BSA stands at a pivotal inflection point and is focused on resetting academic expectations. We are in an active turnaround phase focused on stabilization, systems-building, and cultural reset. Our Office Assistant will play a vital role in this transition by cultivating a warm, organized, and professional environment in the main office, helping to anchor our cultural reset through strong family engagement and reliable day-to-day administrative support.

The Opportunity
BSA’s Office Assistant will have the opportunity to:

  • Welcome. Serve as the primary, high-service point of contact for all families, visitors, and students, establishing an environment that is immediately warm, supportive, and efficient from the moment they enter the building.
  • Support. Partner directly with the Operations Manager to maintain excellent day-to-day main office workflows, incoming communications, and reliable school-wide logistical tracking systems.
  • Coordinate. Assist the school's Senior Leadership Team with complex scheduling, calendar management, and special administrative tasks to optimize leadership efficiency.
  • Stabilize. Contribute actively to the school's turnaround phase by ensuring data integrity, student attendance records, and family communication channels remain reliable and organized.

Core Responsibilities 
Front Office Management & Family Engagement

  • Maintain an exceptionally organized, professional, and welcoming main office environment.
  • Greet all visitors, handle guest sign-ins, and direct students and families to the appropriate staff or services.
  • Serve as the central hub for incoming phone calls, family inquiries, and school-wide correspondence, providing timely and helpful assistance.

Daily Operational Support

  • Work directly with the Operations Manager to assist with daily facility coordination, mail distribution, and procurement supply management.
  • Support school-wide logistics, including managing main office trackers, technology check-outs, and organizing document distribution for staff and families.
  • Assist with daily attendance tracking, data entry, and student record maintenance as directed by the Operations Manager.

Leadership Administrative Assistance

  • Provide high-quality administrative support to the Head of School and Senior Leadership Team, primarily focused on calendar coordination and scheduling meetings.
  • Prepare meeting materials, draft general correspondence, and assist with staff or family event logistics as needed.

Qualifications and Professional Requirements
Required 

  • High School Diploma or equivalent required.
  • Prior experience in a front-office, administrative assistant, or customer-facing role, preferably within a fast-paced school or community non-profit environment.
  • Excellent communication and interpersonal skills, with a proven ability to build positive relationships with diverse student and family populations.
  • Strong organizational skills and attention to detail, with an ability to manage multiple priorities simultaneously.
  • Proficiency with standard office technology and software (e.g., Google Workspace, spreadsheets, calendar scheduling tools).

Preferred

  • Associate's degree or completed college credits.
  • Bilingual communication skills (e.g., Spanish/English) to deeply connect with and support all school families.
