Logistics Assistant (Bilingual) – Freight Tracking & Appointments

Miami, FL preferred | On-site| Immediate availability preferred

We are looking to bring on a Bilingual Logistics Assistant to support our transportation team with shipment tracking, refrigerated cargo monitoring, delivery appointment management, POD organization, carrier communication, and documentary support for logistics processes.

Our operations involve fresh flowers, which require special attention to refrigerated transport, temperature-sensitive cargo, time-sensitive deliveries, and delivery appointment compliance.

This is not a purely administrative or entry-level position. We are looking for a bilingual, organized, and detail-oriented individual with prior experience in logistics, transportation, freight tracking, or supply chain operational support.

Position Summary

The Logistics Assistant will support the transportation team through continuous shipment tracking, pickup and delivery verification, refrigerated cargo monitoring, appointment management, logistics documentation organization, and operational communication with carriers, vendors, customers, and internal teams.

This role is focused on operational tracking, documentation, communication, and incident escalation. Overall cargo coordination, shipment consolidation, freight negotiation, and carrier selection will remain under the responsibility of the transportation leadership team.

Key Responsibilities

  • Continuously track inbound and outbound logistics shipments.
  • Monitor refrigerated shipments and temperature-sensitive cargo to support the timely movement of fresh flowers.
  • Follow up on scheduled pickups, transit, deliveries, operational updates, and on-time performance.
  • Monitor temperatures, appointments, pickups, and on-time deliveries.
  • Schedule, update, and manage delivery appointments on retailer, big-box, and distribution center portals.
  • Work with portals such as Walmart Retail Link, UNFI, Target, and similar platforms.
  • Receive, review, organize, and maintain POD (Proof of Delivery) documentation, delivery confirmations, and shipment-related records.
  • Communicate with carriers, vendors, customers, and internal teams to follow up on cargo status, appointments, documentation, and service incidents.
  • Escalate delays, missed appointments, temperature-sensitive cargo risks, documentation issues, or service exceptions.
  • Support documentation related to transportation vendor payments through Accounts Payable (AP) processes.
  • Support documentation related to customer invoicing and Accounts Receivable (AR) processes.
  • Maintain updated records of shipments, appointments, carrier communications, PODs, confirmations, and transportation updates.
  • Provide additional administrative and operational support to the transportation team as needed.

Requirements

  • 1 to 3 years of experience in logistics, transportation, freight tracking, supply chain operations, or related fields.
  • Fluent bilingual proficiency in English and Spanish - required.
  • Prior experience tracking freight, following up on pickups and deliveries, and communicating with carriers.
  • Working knowledge of logistics terminology, transportation flows, delivery appointments, shipment documentation, and PODs.
  • Ability to monitor multiple shipments, appointments, documents, and operational updates simultaneously.
  • High level of organization, attention to detail, and follow-through.
  • Strong written and verbal communication skills.
  • Ability to work with a sense of urgency in a time-sensitive logistics environment.
  • Comfortable working with spreadsheets, email, transportation portals, retailer portals, and digital tools.
  • Availability to work from Miami, FL on-site or hybrid, or remotely within the United States, based on business needs and candidate profile.
  • Immediate availability preferred.

Preferred Qualifications

  • Experience in refrigerated transport, temperature-controlled logistics, fresh flowers, perishable products, food, fresh produce, or cold chain.
  • Familiarity with retailer delivery portals such as Walmart Retail Link, UNFI, Target, or similar platforms.
  • Experience managing delivery appointments, routing requirements, carrier documentation, PODs, or distribution center requirements.
  • Experience supporting Accounts Payable (AP) or Accounts Receivable (AR) processes in logistics or transportation environments.
  • Prior experience in flowers, fresh produce, food, consumer goods, retail distribution, warehouse logistics, or supply chain industries.
  • Experience working with time-sensitive cargo and service incident resolution.
