Job description

Our Story

The West Side Federation for Senior and Supportive Housing, Inc. (WSFSSH) is a communityโ€based organization whose mission is to provide safe, affordable housing with supportive services within a residential setting which enhances the independence and dignity of each person. WSFSSH develops, manages, and provides housing for lowโ€ income older persons, many of whom live with mental illness and/or have experienced homelessness.

Position Description

Under the direct supervision of the Property Manager, the superintendent is responsible for ensuring the overall maintenance functionality and cleanliness of the property while supervising housekeeping staff to ensure all units and common areas are kept in pristine condition for residents and staff. โ€ฏSupervise and manage the porters and housekeeping staff to ensure cleanliness standards are met.

This is a full-time position (5) days a week on-site. (Monday - Friday 8am- 4pm/ on- call)

Responsibilities

Supervision

  • Coordinate and collaborate with all heads of department (Property Manager, Area Manager, Facilities) to maintain a clean and safe building.
  • Directly supervise one (1) porter, with the goal of building strong, and solid teamwork,โ€ฏto ensure that required tasks are consistently and fully completedโ€ฏand needs that arise are addressed in a timely, safe, and effective manner
  • Ensure that all cleaning, maintenance and custodial work in the building is being done properly and in a timely manner
  • Ensure that all tenant work requests are responded to within 24 hours, however, in case of emergency, ensure that the situation is addressed immediately.

Documentation

The superintendent must submit to management the following:

  • Written requests for janitorial, maintenance, and repair supplies when needed
  • Superintendent Weekly Report with attached completed work request orders
  • Daily maintenance log report
  • Janitorial supplies inventory list
  • Apartment appliance lists with model and serial numbers
  • Fire extinguisher and smoke/carbon detector location lists
  • Exhaust fan location list
  • Provide a weekly heating report and follow up on heat complaints during the heating season months (October 1st-May 31st).
  • Report any incidents damages or violations to property manage
  • Assist with procurement of cleaning and maintenance supplies
  • Maintain accurate records of maintenance and cleaning activities

Maintenance

  • Prepare vacant apartments (within thirty (30) days) for occupancy
  • Ensure that Painting, Carpentry, Plumbing, Electrical, Heating, Ventilation and Air Conditioning tasks (repairs, upgrades, cleaning, basic maintenance) are performed in a competent and timely manner
  • Maintain grease traps
  • Strip and wax floors, as needed
  • Perform minor repairs on small appliances, including roof fans, air-conditioners, stoves, refrigerators, etc.
  • Implement energy and water conservation projects as mandated by owner/management.

Equipment

  • Ensure that all operating equipment is maintained properly and implement procedures in the eventโ€ฏof equipmentโ€ฏmalfunctioning.
  • Perform preventive maintenance checks on all machinery and report any defects and preventive measures to management; also, monitor, and ensure thatโ€ฏproper preventive maintenance tasks are being performed thoroughly as prescribed, and on schedule.
  • Observe water, electrical meters, and heating/hot water system gauges to ensure proper operation,โ€ฏand report any malfunctions to management.
  • Liaise withโ€ฏservice contractors i.e. (heating system, generator, elevator, compactor, laundry machines, and fire alarm system) when necessary, in case of break-down or emergencies

Garbage

  • Assure proper on-site recycling procedures that the building complies with all mandated recycling programs.
  • Assure that all staff handling garbage follow appropriate procedures and wear protective attire i.e. goggles, gloves, rubber apron, steel toe boots.
  • Ensure the proper functioning and cleanliness of the compactors chute.
  • Ensure that the garbage is bagged properly according to sanitation codes, and that garbage and recycling items are set out for pickup as scheduled.

Code Compliance

  • Assist with all code compliance items, with the goal of maintaining consistent and complete compliance with all code requirements,โ€ฏand company policies
  • Provide building access to all Government agencies, accompany them on inspection, and report any issues or deficiencies immediately to management.
  • Monitor tags on fire extinguishers and any other fire safety equipment and report any deficiencies to management.

Building and Grounds

  • Ensure that all windows and exit doors are clean and free of obstruction. In addition, ensure that doors are self-closing and windows open and close properly.
  • Ensure that common areas inside and outside the building are smoke free, clean, and free of hazards.
  • Ensure that areas in front of the building, including sidewalks, are safe andโ€ฏfree of graffiti, debris and other hazards.
  • Ensure that grounds/garden/backyard are clean, well maintained, and free of debris.
  • Assure that snow removal is done in a timely manner; maintain sidewalks free of ice and slipping hazards.

Other

  • The Superintendent is required to wear the companyโ€™s uniform, and to always maintain a neat and clean appearance.
  • Work as a member of a team to establish and maintain high level of care and respect for and communication with residents
  • Work cooperatively with other staff members
  • Share information about resident progress, needs, and problems with other staff in accordance with WSFSSH Confidentiality Policy.
  • Attend training sessions and conferences as required for enhancement of job skills
  • Implement emergency procedures as necessary
  • Submit all required reports in a complete and timely manner
  • Assist with other duties as directed

Required Skills / Abilities

  • Experience working with seniors and/or individuals with special needs is preferred
  • Able to work in a multicultural and diverse environment

Education & Experience

  • High School Diploma or GED required
  • A minimum of 5 years of experience working in a building maintenance, preferably as a Superintendent
  • A minimum of 5 years of experience and/or training in painting, boiler maintenance, electrical, plumbing, air conditioning
  • Ability to repair small appliances and some carpentry experience
  • S12 and S95 certificates are required upon hiring
  • Must be able to speak, read, and write in English

Physical Requirements

This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling and/or extended walking and standing. This role may also require uniforms and/or usage of Personal Protective Equipment (PPE). โ€ฏ Candidate must be able to lift a minimum of at least 25 lbs. and must be able to stand for extended periods of time.
