Job Description

We are seeking an experienced Administrative Assistant II to support daily business operations and provide high-level administrative assistance to management. This role involves handling a wide range of administrative, coordination, and analytical tasks while ensuring efficient office operations. The ideal candidate is detail-oriented, highly organized, and capable of working independently in a fast-paced environment.


Responsibilities
  • Provide administrative and operational support to manager(s)
  • Prepare reports for business planning and analysis
  • Analyze data and recommend optimal reporting techniques
  • Develop and enhance office management processes
  • Coordinate onboarding logistics including IT setup and workspace arrangements
  • Assist in developing and maintaining project plans
  • Support project managers with status reporting and tracking
  • Schedule and coordinate meetings, including preparing agendas and minutes
  • Manage travel and lodging arrangements
  • Maintain calendars, schedules, and contact lists
  • Screen calls and distribute correspondence and mail
  • Process expense reports, EMRs, and purchase orders
  • Order office supplies and maintain inventory
  • Create and maintain presentations and documentation libraries
  • Coordinate special projects and maintain confidential records
  • Track vacation calendars and assist with timecard reviews
