Position Overview
The Manager, Billing Services is responsible for leading the people, service delivery, and day-to-day execution of the Firm's billing function. This role oversees the billing team, manages daily billing operations, and ensures the timely, accurate, and compliant delivery of billing services to attorneys and clients. The Manager, Billing Services fosters a culture of accountability, collaboration, continuous improvement, and exceptional client service while supporting the professional development and success of the billing team.
The ideal candidate is a hands-on leader who enjoys developing people, building strong relationships, and creating a high-performing team environment. This role works closely with attorneys, legal support staff, clients, and Finance leadership to ensure exceptional service, efficient workflows, and successful execution of the Firm's billing processes.
The Manager, Billing Services works in close partnership with the Manager, Billing Operations to support the Firm's overall billing strategy and service delivery. While each role maintains distinct areas of responsibility, both leaders are expected to develop a strong understanding of the overall billing function, collaborate on cross-functional initiatives, and provide support and leadership coverage for one another as business needs require.
This position reports directly to the Director of Finance.
Primary Responsibilities:
  • Lead, mentor, coach, and develop the billing team while fostering a collaborative, accountable, and service-oriented work environment.
  • Oversee the preparation, review, editing, and submission of client invoices, ensuring accuracy, timeliness, and compliance with client billing guidelines.
  • Manage daily billing workflows by monitoring team workloads, prioritizing assignments, and allocating resources to meet deadlines.
  • Serve as the primary escalation point for billing-related questions from attorneys, legal support staff, clients, and members of the billing team.
  • Oversee electronic billing submissions and monitor invoice status across various e-billing platforms.
  • Research and resolve billing discrepancies, rejected invoices, invoice reductions, and client billing inquiries.
  • Partner with attorneys and Finance leadership to support accounts receivable efforts and resolve billing-related collection matters.
  • Generate and analyze billing, WIP, and accounts receivable reports to identify trends, monitor performance, and support informed decision-making.
  • Support month-end billing activities and assist with special projects as assigned.
  • Establish, document, and promote billing best practices, quality standards, and consistent service levels across the department.
  • Lead onboarding, training, coaching, mentoring, and ongoing professional development for billing team members.
  • Participate in hiring, employee development, succession planning, and performance management initiatives.
  • Partner closely with the Manager, Billing Operations to support cross-training, workflow improvements, system enhancements, departmental initiatives, and seamless operational coverage.
  • Maintain a working knowledge of billing systems, reporting tools, and operational processes to effectively support departmental initiatives and provide backup coverage when needed.
  • Foster strong working relationships across departments while promoting a client-service-focused culture.

Qualifications
  • 5+ years of legal billing experience within a law firm required.
  • Experience within an insurance defense law practice strongly preferred.
  • Previous supervisory, team lead, mentoring, or people management experience preferred.
  • Strong understanding of legal billing processes, client billing guidelines, electronic billing requirements, and accounts receivable support.
  • Experience with legal billing systems such as Aderant, Elite 3E, or similar platforms preferred.
  • Experience with LEDES billing formats and e-billing platforms, including CounselLink, Legal Tracker, Tymetrix, Legal-X, Bottomline Legal Exchange, Acuity, or similar systems.
  • Advanced proficiency with Microsoft Office Suite, particularly Excel, including PivotTables, VLOOKUP/XLOOKUP, filtering, reporting, and data analysis.
  • Demonstrated ability to analyze billing data, troubleshoot issues, and manage high-volume workflows while meeting critical deadlines.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to build relationships across departments while maintaining a high level of professionalism and customer service.

Compensation and Benefits
Salary Range: $100,000-$120,000, depending on experience.
The compensation offered for this role will vary based on factors such as job-related knowledge, skills, education, and experience. Eligible employees may also participate in bonus opportunities and other components of the Firm's total rewards program.
In addition to monetary compensation, employees are provided with a robust selection of benefits, including:
