Position Overview

Burnham Law is seeking a Legal & Billing Assistant. Candidates must possess a combination of essential skills and experience. Prior experience in a law firm or legal setting is a plus, providing a solid foundation for understanding legal terminology and processes. Strong verbal and written communication skills are crucial, enabling you to interact professionally with clients and colleagues. High attention to detail and exceptional organizational abilities will help you prioritize and manage multiple tasks effectively. Proficiency in Microsoft Office Suite and legal software is necessary for day-to-day responsibilities.

In addition to providing administrative and legal support, this role is responsible for assisting with the firm's billing processes, including preparing invoices, reviewing billing entries for accuracy, coordinating with attorneys on billing matters, and helping ensure timely and accurate client billing.

A professional demeanor paired with excellent client service skills will enhance the firm's reputation. Successful candidates should also be able to work independently while collaborating effectively as part of a team. Finally, the role requires the ability to sit or stand at the front desk for extended periods and the occasional lifting of file boxes or office supplies up to 25 lbs.

What you'll Do
  • Greet clients and visitors professionally and warmly
  • Answer, screen, and route incoming phone calls
  • Manage front desk coverage as part of a rotating schedule
  • Receive, sort, and distribute incoming mail and deliveries
  • Mail documents
  • Maintain a tidy and professional reception area, including break room
  • Assist with scheduling conference rooms and client appointments
  • Provide administrative support to attorneys, paralegals, and other staff
  • Draft, format, and proofread legal documents and correspondence
  • Organize and assemble case binders and trial materials
  • Manage physical and digital case files; scan and upload documents
  • Support case prep and document production tasks as assigned
  • Communicate with clients via phone and email
  • Perform general administrative tasks (e.g., data entry, calendaring, client follow-ups)
  • Complete a minimum of 15 hours of billable legal support work each week
  • Order supplies, put away supplies, and maintain the office kitchen
  • Assist with attorney billing, including preparing, reviewing, editing, and finalizing client invoices
  • Review time entries for accuracy and follow up with attorneys regarding missing or incomplete billing entries
  • Support month-end billing processes and help ensure invoices are completed in a timely manner
  • Communicate with attorneys and staff regarding billing questions and corrections
  • Maintain confidentiality while handling client billing and financial information
  • Other duties as assigned
Required Qualifications:
  • Prior experience in a law firm or legal setting is a plus
  • Strong verbal and written communication skills
  • High attention to detail and organizational skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proficient in Microsoft Office Suite and legal software (Filevine, Word, Mac Products)
  • Professional demeanor and excellent client service skills
  • Ability to work independently and as part of a team
  • Experience with legal billing, invoicing, or accounting processes is preferred
  • Strong attention to detail when reviewing financial and billing information
  • Ability to maintain confidentiality while handling client financial data
  • Experience with legal practice management or billing software is preferred
  • Familiarity with legal terminology and processes is a plus
  • Demonstrate punctuality in all tasks and responsibilities
  • Ability to sit or stand at the front desk for extended periods.
  • May require occasional lifting of file boxes or office supplies (up to 25 lbs).

This position will be performed on-site. The typical workday is Monday-Friday, 8 AM-5 PM.
