Job description

National law firm has an immediate opening for an entry level legal assistant. The core duties and responsibilities of this position revolve around supporting others and delivering exceptional customer service. Under the supervision of the Office Administrator, the Legal Assistant is responsible for providing administrative support to meet the daily needs of the office location. The junior legal assistant will assist with preparing, organizing and filing electronic and non-electronic court filings and other legal documents; assisting with data entry for new business intake (NBI), utilizing the NetDocs document management system for file and document storage; processing invoices/expense reports, providing clerical support to attorneys and other professional personnel. Responsibilities can vary widely from day to day, and office needs may vary depending on location.

RESPONSIBILITIES:

  1. Provides day-to-day support to attorneys and legal support staff; primary duties include supporting the assigned products liability team and coordinating national discovery management.
  2. Assists with new business intake processes, saves client/attorney incoming emails and court notifications in NetDocs or similar document management systems; performs electronic filing, following court e-filing procedures and utilizing court web portals.
  3. Creates, types, modifies and saves correspondence, memoranda, notes, legal documents, etc., whether from drafts, originals or dictation.
  4. Copies and scans documents; and creates/updates binders.
  5. May assist with attorney time entry, travel and scheduling. Maintains list of all current billing numbers.
  6. As requested, may provide support for reception, the conference center and/or copy center, as duties/office needs can vary widely from day to day.
  7. Performs other administrative duties as assigned by firm management.

REQUIREMENTS:

  1. One year of post high school education and related work experience required; Associateโ€™s Degree preferred; prior law firm/legal department experience is a plus.
  2. Excellent verbal and written communication skills, including data entry, proofreading, spelling, grammar and punctuation.
  3. Proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint); typing proficiency with +55 wpm preferred.
  4. Possesses a high level of organizational and project management skills.
  5. Self-motivated with ability to multi-task and work with minimal supervision.
  6. Exercises independent judgment in determining priority levels of all work assigned and assures assignments are completed in a timely manner.
