Job description

DEACON, MOULDS & STOFER, a fast-paced insurance defense law firm, located in beautiful St. Petersburg, FL, is seeking a full-time legal administrative assistant to support attorneys handling long-term care and medical malpractice defense cases.

Responsibilities

  • Prepare, format, and proofread legal correspondence and documents (including transcription)
  • Maintain and organize physical and electronic case files using ATO software and established firm procedures
  • Schedule meetings, depositions, and court appearances
  • Manage attorney calendars and track deadlines
  • Handle incoming calls, emails, and mail; respond or route appropriately
  • Coordinate with clients, medical offices and court personnel
  • E-filing via Florida Court Portal, processing e-service
  • Support attorneys with general administrative tasks and office procedures

Requirements

  • Minimum two years of experience as a legal secretary/legal administrative assistant, preferably in defense litigation or healthcare-related law
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) essential
  • ATO case management software and Adobe Pro a plus
  • Strong attention to detail, highly organized and ability to manage multiple tasks
  • Excellent written and verbal communication skills
  • Familiarity with legal terminology and procedures
  • Professional demeanor and discretion in handling confidential information
