Job description

Miles & Stockbridge is seeking a Legal Practice Assistant to join our growing Richmond, VA office. This position plays an integral role in supporting attorneys across multiple practice areas by providing comprehensive administrative and legal support. The Legal Practice Assistant will manage a broad range of responsibilities, including document preparation and management, client and matter administration, billing support, calendaring, court filings, and general practice support.
The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced, deadline-driven environment. Success in this role requires strong communication skills, technical proficiency, sound judgment, and the ability to work both independently and collaboratively while delivering exceptional client service.
Key Responsibilities:
  • Support attorneys across litigation, transactional, and multifamily housing practice groups with legal billing, including gathering and submitting back-up documentation, assisting with attorney expense reimbursement requests, and entering attorney time in alignment with the firm's monthly billing cycles.
  • Open new client matters by collecting and submitting necessary information from attorneys and clients, initiating conflicts checks, and preparing draft engagement letters.
  • Prepare and organize files including copying, scanning, and managing incoming and outgoing mail.
  • Prepare, revise, proofread, format, and distribute legal documents, correspondence, reports, presentations, and other materials.
  • Coordinate and manage document productions, exhibits, binders, closing documents, signature packets, and other matter-related materials.
  • File matter and client information using a document management system such as NetDocs.
  • Handle phone calls and schedule meetings and other appointments.
  • Coordinate with attorneys, clients, and internal teams to support day-to-day legal operations.

Qualifications:
  • College degree preferred.
  • 3+ years' experience as a Legal Practice Assistant preferred.
  • Knowledge of legal document formatting.
  • Understanding of legal billing practices and attorney time entry.
  • Knowledge of court filing procedures (both state and federal).
  • Ability to operate standard office and legal software, including MS Office Suite, Document Management Systems (such as iManager or NetDocs), and billing systems (Aderant preferred).
  • Strong organizational and oral and written communication skills.
  • Good time management.
  • Professional and pro-active demeanor towards attorneys and clients.
  • Ability to work closely and effectively with all levels of firm and department employees.

Physical Demands:
