About this Role

Quanta Power Solutions is seeking a Legal Operations Coordinator to support the General Counsel and Legal Department in managing contracts, legal documentation, compliance activities, and day-to-day legal operations. This role serves as a key partner to the business, helping maintain organization, mitigate risk, and support legal processes across a growing EPC organization. 

The ideal candidate is highly organized, detail-oriented, and comfortable balancing administrative coordination with substantive legal support in a fast-paced environment. This position offers broad exposure to contract administration, corporate legal matters, compliance, and legal operations. 

What You'll Do
  • Support the General Counsel in managing legal operations and department priorities 
  • Assist with contract administration, including routing, tracking, execution, renewals, and record maintenance 
  • Organize and maintain legal files, contract repositories, and matter tracking systems 
  • Draft, review, proofread, and manage routine legal correspondence and documentation 
  • Coordinate signatures, approvals, and document workflows across internal stakeholders 
  • Assist with legal research and gathering information related to regulatory, contractual, and compliance matters 
  • Support claims, disputes, and litigation management activities, including coordination with outside counsel 
  • Track deadlines, reporting requirements, insurance matters, and other legal obligations 
  • Assist with corporate governance, licensing, and compliance initiatives as needed 
  • Prepare reports, presentations, and summaries for legal and business leadership 
  • Maintain confidentiality and discretion when handling sensitive business information 
  • Support special projects and other legal department initiatives as assigned 
  • Review and assist with preparation of subcontract agreements, purchase orders, master service agreements, and other project-level contracts common to EPC operations 
  • Collect, track, and manage lien waivers and conditional/unconditional releases from subcontractors and suppliers on a per-project basis 
  • Assist with preparation and tracking of change orders, contract modifications, and Notice to Proceed (NTP) documentation in coordination with project management teams 
  • Maintain certificates of insurance (COIs) and monitor ongoing compliance with contractual insurance requirements across active projects 
  • Coordinate with project managers, operations, and field teams to surface and escalate contractual issues or potential legal risks to the General Counsel 
  • Support preparation and review of bid packages, RFP/RFQ documentation, and proposal-stage agreements to ensure legal compliance and appropriate risk allocation 
  • Assist with bond documentation, including performance bonds, payment bonds, and bid bonds, and maintain related records 
  • Administer litigation hold notices and assist with document collection, preservation, and production in response to discovery or regulatory requests 
  • Maintain corporate entity records, including good standing certificates, registered agent designations, state licensing, and annual filing calendars 
  • Support the onboarding of new outside counsel and assist with matter intake, billing guideline compliance, and invoice review 
  • Assist with employment-related legal matters and serve as a liaison between the Legal Department and Human Resources on crossover issues 
  • Maintain a working knowledge of applicable state and federal regulations affecting EPC, utility, and energy project delivery, including right-of-way, permitting, and environmental compliance requirements 
What You'll Bring
  • Associate's degree, Bachelor's degree, or paralegal certificate preferred 
  • 3+ years of experience supporting legal, contracts, compliance, or corporate administration functions 
  • Experience in construction, engineering, EPC, infrastructure, utilities, energy, or related industries preferred 
  • Experience with contract administration or contract lifecycle management processes 
  • Experience coordinating with outside counsel, insurance providers, or regulatory agencies 
  • Familiarity with legal document management systems 
  • Strong organizational skills and attention to detail 
  • Excellent written and verbal communication skills 
  • Ability to manage multiple priorities and deadlines in a fast-paced environment 
  • Strong judgment and ability to handle confidential information appropriately 
  • Strong ability to communicate effectively with C-suite level executives/leadership. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) and Adobe Acrobat; experience with contract lifecycle management (CLM) platforms such as SharePoint- preferred 
  • Familiarity with construction or project management platforms such as Procore a plus 
  • Working knowledge of fundamental contract law concepts, including indemnification, limitation of liability, warranty, and insurance provisions, sufficient to flag issues for attorney review 
  • Experience supporting litigation, claims, or dispute resolution processes, including document collection, hold notice administration, and coordination with outside litigation counsel 
  • Ability to read, interpret, and summarize contract language and identify material deviations from standard terms 
  • Familiarity with construction-specific legal requirements, including state lien laws, Miller Act and Little Miller Act bond requirements, and right-of-way or permitting considerations 
  • Experience with corporate governance and entity management, including preparing and filing annual reports, maintaining good standing, and managing registered agent relationships 
  • Notary Public certification or willingness to obtain 
  • Ability to collaborate effectively across departments, including operations, finance, human resources, procurement, and project management, with a customer-service mindset 
  • Self-starter with the ability to work independently, exercise sound judgment, and manage competing priorities with minimal supervision
