Position Overview: The Legal Operations Specialist is responsible for supporting compliance-related initiatives, including political law compliance, monitoring and tracking developments related to legal affairs, coordinating internal legal operations processes, and assisting with the implementation of association policies and procedures, as well as supporting the legal affairs team in day-to-day functions. Key Areas of Responsibility: Legal Affairs Support Provide administrative and operational support on legal matters and projects Track deadlines, filings, and compliance requirements, such as annual reporting requirements Support legal research needs Assist in the preparation of presentations, reports, and documentation for internal and external stakeholders Political Law & Compliance Monitor and track state lobbying activity and political contributions, including political action committee activity and state/federal giving Support compliance on state and federal lobbying, campaign finance laws, and reporting requirements and assist with reports Maintain accurate records of political expenditures and contributions through in-house tracker Stay informed of relevant regulatory changes regarding political law, especially as to nonprofits and ensure organizational adherence Digital File Management Organize, maintain, and update contracts and other legal documents and records within digital filing systems Ensure accuracy, accessibility, and compliance with document retention policies Implement and improve file organization systems for efficiency and scalability Invoice Processing & Financial Coordination Assist in preparing, reviewing, and sending invoices related to legal services Maintain invoice tracking systems and ensure timely submission and payment Review and code invoices in accordance with internal financial procedures and compliance requirements Collaborate with public affairs, finance and legal teams to resolve discrepancies and ensure operational efficiencies Requirements Experience and Education: Bachelor's degree Minimum 3 years of experience in legal operations, administration, and/or compliance roles Preferred:Experience with political law, campaign finance regulations, or PACs; experience with invoice management, billing systems, or financial coordination a plus; compliance Skills & Competencies: Strong organizational and time management skills High attention to detail and accuracy Ability to manage sensitive and confidential information Proficiency in Microsoft Office Suite and/or legal management software Familiarity with document management systems and digital filing tools Analytical thinking with strong problem-solving abilities Excellent written and verbal communication skills Ability to multitask and prioritize work Flexibility in learning new software and/or computer/technical applications A self-starter with the ability to work independently and manage multiple priorities in a fast-paced environment Preferred Attributes: Experience working in a law firm, corporate legal department, government affairs consultancy, government agency or political organization Knowledge of Federal Election Commission regulations and state-level campaign finance laws
