Job description

Job Title: Leave Administrator

The Leave Administrator is responsible for administering and coordinating the organization's leave of absence programs while ensuring a positive employee experience and compliance with all applicable federal, state, and company policies. This role serves as a trusted advisor to employees and managers by providing guidance on leave eligibility, documentation requirements, and return-to-work processes. The specialist manages leave cases from initiation through resolution, maintains accurate records in HRIS and payroll systems, and partners with internal stakeholders to support workforce continuity. Success in this role requires strong knowledge of leave regulations, sound judgment, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities

  • Administer and manage all leave of absence programs, including family and medical leave, parental leave, disability leave, military leave, personal leave, and other applicable leave programs.
  • Serve as the primary point of contact for employees and managers regarding leave policies, procedures, eligibility requirements, and available benefits.
  • Review and evaluate leave requests and supporting documentation to determine eligibility and ensure compliance with company policies and applicable regulations.
  • Coordinate the leave administration process from initiation through return to work, ensuring timely communication and documentation throughout the lifecycle of the leave.
  • Partner with managers and HR colleagues to develop alternative work arrangements, staffing plans, and coverage solutions during employee absences.
  • Facilitate employee reinstatement and return-to-work processes, including accommodations, fitness-for-duty documentation, and transitional work arrangements when applicable.
  • Maintain accurate leave records and process required updates within HRIS, payroll, and related systems.
  • Monitor leave timelines and documentation requirements to ensure compliance with regulatory deadlines and internal service standards.
  • Research and resolve employee and manager inquiries related to leave administration and applicable policies.
  • Ensure compliance with federal, state, and local leave regulations, as well as company policies and procedures.
  • Prepare reports, audits, and documentation to support leave management activities and regulatory requirements.
  • Identify opportunities for process improvements and contribute to the enhancement of leave administration practices and employee experience.
  • May provide guidance, coaching, and support to less experienced team members

Education

  • Bachelor's degree in Human Resources, Business Administration, or a related field highly preferred.

Experience

  • Minimum of 2 to 4 years of experience in leave administration, human resources, benefits administration, or a related function.
  • Working knowledge of leave management practices, employment regulations, and HR processes.
  • Experience utilizing HRIS and payroll systems preferred.
  • Demonstrated ability to manage moderately complex employee situations with a high degree of professionalism and confidentiality.
  • Experience providing guidance and support to employees, managers, and business partners preferred.
