The National Down Syndrome Society's (NDSS) mission is to create a world where individuals with Down syndrome thrive.Founded in 1979, NDSS empowers individuals with Down syndrome and their families by driving policy change, providing resources, engaging with local communities, and shifting publicperceptions.The organization advances this mission through its core pillars of Research, Community Access & Supports, and Advocacy & Policy.

Position Summary

Reporting to theCOO, theDatabase & Systems Manager oversees and manages the organization'sdatabase, SharePoint,Asana,learning management system,and other internal systems that support data management, collaboration, and operational efficiency. This roleis responsible forensuring data integrity, system functionality, cross-departmental efficiency, and secure information management across the organization.

Essential Functions and Responsibilities

  • Servesas the primary administrator fortheNDSS' CRM system, overseeing datamanagement,integrations,andthe flow of information across departments and integrated/external systems

  • Manages andmaintainsdatabase integrity through audits, clean-ups, imports/exports, and quality assurance processes

  • Develops and manages reports, dashboards, and data queries to support organizational operations, strategic planning, and decision-making

  • Evaluates system integrations, external platforms, and workflow enhancements to improve data accuracy, increase efficiency, and reduce manual processes; coordinates with vendors and consultants to implement and support solutions

  • Assistswith evaluating and reviewing external systems for compatibility with the existing CRM platform

  • Supports departments with database segmentation and audience development for marketing, development, and outreach purposes

  • Serves as the primary administrator for Asana, overseeing platform configuration, user permissions, workspace structure, integrations, templates, and ongoing optimization to support organizational project managementpractices

  • Managesthe organization's SharePoint environment, including permissions, document structure, file governance, migration of legacy files, and ongoing maintenance to ensure secure and efficient access to information

  • Assistwith developingandmaintainingdocument management standards, file organization practices, and collaboration procedures that support consistency across departments.

  • Creates andupdates system procedures, user documentation, and staff training resources to promote consistent use of organizational systems and data management practices

  • Providesday-to-daysupportand guidance for CRM, SharePoint, Microsoft 365, Asana,learning management system,and other internal platforms

  • Supports the COO in strengthening organizational data governance and systems infrastructure byestablishingsystem standards, maintaining data quality, managing user access and security controls, and implementing practices that ensureaccurate, secure, andeffective use of organizationalinformation

  • Assistswith gathering periodic feedback from staff on system pain points and translating that feedback into actionable improvements and refinements

  • Other duties as assigned

Education&Experience:

  • Bachelor's degree in Information Systems, Computer Science, Business Administration, or related field preferred.

  • 3-5+ years of experience managing databases, SharePoint, and organizational systems.

  • Experience with CRM/database platforms (Salesforce, Blackbaud,EveryAction, Raiser's Edge, or similar preferred).

  • Strong knowledge of Microsoft 365 and SharePoint administration.

Knowledge, Skills&Abilities

  • Strongproblem-solving, organizational, and communication skills.

  • Ability to manage multiple projects and priorities.

  • Familiarity with artificial intelligence tools and emerging operations technologies is a plus

  • Experience with project management and workflow platforms such as Asana, Monday.com, or similar systems preferred

  • Proven ability to interact effectively and communicate well

  • Experience with system implementation, process automation, and user training.
