Position Summary
The L&D Specialist supports the planning, coordination, administration, design, and continuous improvement of learning programs across M.C. Dean's Learning & Development (L&D) function. This is a cross-functional role spanning content development, learning technology and records, credentialing and education pathways, technical training, apprenticeship support, Individual Development Plans (IDPs), and internal program delivery.
The role manages assigned learning programs, supports instructional design and learning-path development, maintains program documentation, supports learning management system (MCDU) and records administration, and provides administrative and operational support across the L&D team.
This position is designed as a development/pipeline role. Over time, it can lead into content development, learning program management, credentialing and education operations, learning technology, technical training support, or L&D operations.
Responsibilities
Core Expectations
This role requires strong initiative, organization, customer service, learning agility, and the ability to work across multiple L&D functions. The L&D Specialist supports program execution while helping improve the processes, documentation, and records that make programs repeatable and scalable. Success in this role looks like:
  • Ownership and follow-through on assigned programs, tasks, documentation, and stakeholder communications.
  • Effective coordination across Content Development, Learning Technology, Credentialing & Education, Technical Training, and Apprenticeship teams.
  • Proactive identification of process gaps, learner support issues, or data inconsistencies, with practical solutions.

Essential Duties and Responsibilities
  • Program coordination and delivery: Coordinate planning, timelines, rosters, learner communications, attendance, completion tracking, and closeout documentation for assigned internal learning programs. Partner with external training providers, education partners, and vendors on scheduling, enrollment, invoicing, and reporting. Maintain project plans, action logs, stakeholder lists, and meeting notes for L&D initiatives.
  • Instructional design and content support: Assist with course outlines, learning objectives, storyboards, job aids, facilitator guides, participant materials, and evaluation forms using approved Content Development templates and standards. Support Curriculum Specialists and program owners on business-unit initiatives, including bootcamps, rotation programs, and technical training support.
  • Learning technology and records administration: Administer course setup, enrollments, rosters, completions, certificates, and transcripts in M.C. Dean's learning management system (MCDU), in partnership with the Learning Manager, Technology & Integrations. Identify and help resolve missing, incomplete, or inconsistent learning records to support accurate dashboards and reporting.
  • Program documentation: Keep program files, templates, standard operating procedures (SOPs), rosters, communication materials, evaluation results, and vendor records organized, current, and stored in approved systems.
  • Credentialing, education, and IDP support: Provide administrative support for credentialing records, tuition and Prior Learning Assessment (PLA) documentation, IDP tracking, and education pathway initiatives, in partnership with the Manager, Workforce Credentialing & Education.
  • Apprenticeship and technical training support: Coordinate with the Technical Trainer Lead, Master Trainer, HR Generalist Principal, and Credentialing/Education partners on rosters, attendance, records, learner communications, and materials for apprenticeship and technical training programs.
  • Vendor and administrative support: Manage vendor communications, statement-of-work (SOW) and invoice tracking, purchase request documentation, and license coordination for L&D programs and tools.
  • Reporting and stakeholder support: Compile program data, survey results, completion status, and other information needed for leadership updates, monthly business review (MBR) reporting, and dashboards. Respond to learner, manager, subject matter expert (SME), and vendor inquiries; escalate issues with recommended next steps; and recommend improvements based on recurring themes.

Qualifications
Required Qualifications
  • Bachelor's degree in Human Resources, Education, Adult Learning, Organizational Development, Business, Communications, Instructional Design, or a related field preferred; equivalent experience accepted.
  • 2+ years of experience in learning and development, training coordination, program coordination, HR operations, education administration, instructional support, or related work with a Bachelor's degree or 8+ with a High School Diploma / GED.
  • Experience coordinating programs, maintaining records, supporting stakeholders, managing timelines, and producing accurate documentation.
  • Experience working with learning systems, training records, rosters, learner communications, or program administration.

Preferred Qualifications
  • Experience supporting technical, construction, engineering, field operations, apprenticeship, or workforce development programs.
  • Experience with learning management system (LMS) administration, MCDU/Moodle, Microsoft Teams, SharePoint, Excel, PowerPoint, Outlook, or similar tools.
  • Exposure to instructional design, eLearning development, curriculum development, or technical writing.
  • Experience supporting external training vendors, education partners, credentialing programs, tuition reimbursement, Prior Learning Assessment (PLA), IDPs, or internal leadership/technical programs.
  • Familiarity with Articulate, Scribe, Vyond, Power BI, or related learning tools.

  • Strong organization, documentation, follow-through, and attention to detail.
  • Strong customer-service orientation and ability to support learners, managers, SMEs, vendors, and partners professionally.
  • Ability to manage multiple priorities across different L&D workstreams.
  • Working knowledge of adult learning principles and basic instructional design concepts.
  • Ability to create clear learning materials, communications, trackers, job aids, and process documentation.
  • Strong Excel, SharePoint, Teams, Outlook, PowerPoint, and file-management skills.
  • Ability to learn MCDU, learning records, reporting processes, and system workflows.
  • Ability to protect confidential employee, learner, credentialing, and education records.
  • Ability to identify issues, communicate risks, and escalate with recommended solutions.
  • Flexibility to work across content, technology, credentialing, education, technical training, and program administration functions.
