Position Summary

The Learning & Development Administrative Assistant provides essential administrative, logistical, and coordination support to the L&D team responsible for training personnel within the gas compression industry. This role ensures smooth delivery of training programs, maintains accurate training records, supports compliance activities, and helps streamline communication across the organization.

The ideal candidate is highly organized, detailoriented, techsavvy, and comfortable working in a fastpaced environment. They anticipate needs, solve problems before they escalate, and maintain systems that keep the training group running.

Key Responsibilities

Training Coordination & Logistics

  • Schedule and coordinate instructor-led training, virtual sessions, onboarding classes, and technical courses.

  • Manage calendars, room reservations, travel arrangements, and equipment needs.

  • Communicate training details, reminders, and followup messages to employees and leadership.

  • Assist with vendor coordination for external courses, certifications, and specialized training.

Administrative Support

  • Prepare training materials as needed.

  • Support training program development by formatting documents, proofreading materials, and updating LMS content.

  • Maintain L&D shared drives, documentation repositories, and distribution lists.

Recordkeeping & Compliance

  • Maintain accurate training records in the Learning Management System (LMS).

  • Track employee certifications, expirations, and regulatory compliance training.

  • Generate training reports for managers, auditors, and regulatory reviews.

Technical & Field Training Support

  • Assist trainers with setting up classrooms, training equipment, simulators, and hands on lab equipment.

  • Help manage inventory of training tools, supplies, PPE, and learning aids.

  • Coordinate field visits, skills assessments, and practical demonstrations.

Communication & Customer Service

  • Serve as a central point of contact for training inquiries from field technicians, supervisors, and new hires.

  • Provide timely support to employees navigating LMS courses, troubleshooting access issues, and understanding training requirements.

  • Support onboarding activities and new hire training workflows.

  • Other duties as assigned.

Qualifications

Required

  • High school diploma or equivalent.

  • 0-2 years of administrative, training, or customer service experience.

  • Strong organizational skills and attention to detail.

  • Techn-savvy with an interest in learning new things.

  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities in a fast paced environment.

Preferred

  • Experience in gas compression, oil & gas, energy, manufacturing, or industrial training environments.

  • Familiarity with Learning Management Systems (LMS).

  • Understanding of technical training practices or adult learning principles.

  • Knowledge of compliance requirements for safety sensitive operations.
