Job description

Beginnings Credit Union (Beginnings) is seeking an experienced Executive Assistant who in collaboration with and under the directions of the Chief People Officer ("CPO") will provide support to the Human Resources ("HR"), and the Learning & Development departments ("L&D"). Duties require high energy and an independent work initiative with excellent organizational skills and a keen ability to problem solve. This individual must possess the ability to communicate effectively with all levels of the organization and focus upon completing diverse set of tasks independently.
Requirements
& Responsibilities:
  • Prepares monthly Human Resources reports and dashboard for Board of Directors.
  • Prepares quarterly L&D and Internal Communications reports and dashboards for Board of Directors.
  • Audits and updates HRIS, Intranet, LMS and other systems /lists for accuracy of employee and organization information.
  • Manages and tracks internal education tracts developed and implemented by HR and L&D. This includes but is not limited to:

o Uploading new tracts, confirming completion of courses and programs, communication to employees, and notification to HR Generalist of any payroll adjustments.
  • Manages and tracks annual trainings prepared by HR and L&D. This includes but is not limited to:

o Uploading new tracts, confirming completion of courses and programs, communication to employees, and notification to HR Generalist of any payroll adjustments.
  • Works with L&D and HR to create new program materials as needed.
  • Assists with the Education Committee.
  • Assists with recruiting activities, this includes but is not limited to:

o Job postings, checklists, employment verifications, calendaring for 2-day HR orientation.
  • Coordinates and assists with onboarding activities.
  • Creates quarterly L&D Newsletter.
  • Updates compliance poster board at all locations (including providing electronic copies to remote employees), administers PosterGuard account.
  • Controls CPeO's daily/monthly schedule.
  • Creates agenda, takes minutes, and participates at HR, L&D, and Committee Meetings.
  • Supports Employee Engagement activities including but not limited to:

o Community internal social media and intranet postings, coordinating Supervisor Program workshop logistics, Community Involvement volunteer submissions, and ordering and delivering items.
  • Tracks broadcasts sent by HR and L&D.
  • Tracks expenses for HR and L&D.
  • Coordinates Service Awards celebrations, communications, and gifts.
  • Pulls and confirms accuracy of monthly birthday and anniversary list to send to CEO.
  • Assists in timely updates to the Intranet.
  • Processes Corporate Card and Expense reports for CPeO, HR, and L&D.
  • Helps manage HR engagement gifts and swag orders and deliveries.

Desired Skills:
  • One to three years of similar or related experience.
  • Equivalent to a high school education.
  • Strong communication skills, both written and oral. The ability to provide clear and professional communication to credit union members, other departments' staff, and vendors.
  • Proficient with Microsoft Suite products.
  • Ability to work well in both independent and highly collaborative settings.
  • Self-motivated with willingness to learn.
  • The ability to think strategically, multitask, prioritize, and manager deadlines.
  • Good problem solving and analytical skills.
