Position Title: Human Resources Coordinator
Location: On-Site - Kāne'ohe, Hawai'i
Schedule: Full-time: Monday - Friday 8:00am - 4:30pm
Reports To: Human Resources Director
Position Summary
The Human Resources Coordinator provides administrative and operational support for the People Department while serving as a key resource for employees and leaders across Kualoa. This position supports the full employee lifecycle, including recruitment, onboarding, benefits administration, employee communications, HR systems, compliance, recordkeeping, and employee support. The Human Resources Coordinator plays an important role in ensuring efficient HR operations while delivering exceptional service aligned with Kualoa's values of Aloha, Mālama, Laulima, Po'okela, and 'Ohana.
Key Responsibilities
HR Operations & Administration
  • Serve as a primary point of contact for employee HR-related questions and requests.
  • Coordinate onboarding activities, including orientation scheduling, document collection, and system setup.
  • Maintain accurate and compliant employee personnel files and HR records.
  • Support the preparation of HR reports, dashboards, and workforce data.
  • Coordinate employee recognition, service awards, and engagement initiatives.
  • Maintain HR forms, templates, and departmental resources.
  • Support administration of employee uniforms, name tags, and other employee programs.
  • Assist with audits, background screenings, and pre-employment verification processes.
  • Ensure confidentiality of sensitive employee and organizational information.
  • Support compliance with applicable federal, state, and company requirements.

Employee Support & Communication
  • Provide professional, timely, and confidential support to employees and managers.
  • Assist employees with navigating HR systems, policies, procedures, and available resources.
  • Support new hire orientation and employee training initiatives.
  • Draft and distribute employee communications, announcements, and People Department updates.
  • Promote a positive employee experience through responsive customer service and relationship building.

Benefits Administration
  • Support benefits enrollment, changes, and employee inquiries.
  • Assist employees with benefits-related documentation and coordination with vendors.
  • Support the Benefits Manager with benefits administration processes and employee communications.
  • Assist the Benefits Manager with Workers' Compensation administration, including gathering required documentation and submitting Workers' Compensation claims through the HEMIC portal as needed.
  • Maintain confidential benefits records and documentation.

Additional Responsibilities
  • Support special projects and People Department initiatives.
  • Assist with data entry, reporting, and system maintenance within Dayforce and other HR platforms.
  • Participate in continuous improvement efforts to enhance HR processes and employee experience.
  • Maintain a professional, service-oriented approach when interacting with employees, guests, and external partners.
  • Perform other duties as assigned.

Physical Requirements
  • Frequently sit, stand, walk, bend, reach, and use hands for computer and administrative work.
  • Ability to lift and carry up to 50 pounds occasionally.
  • Ability to travel between work locations on Kualoa property as needed.
  • Ability to operate standard office equipment, including computers, printers, copiers, and telephones.
  • Ability to work in both office and outdoor environments during employee events, orientations, and operational support activities.
  • Ability to communicate effectively in person, by phone, and through electronic communication.

Minimum Qualifications
  • Associate degree in Human Resources, Business Administration, Communications, or a related field; or equivalent combination of education and experience I qualifying.
  • Three (3) years of Human Resources Experience.
  • Experience in at least two of the following areas: benefits administration, HRIS administration, recruiting, onboarding, leave administration, employee records management, or compliance support.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications
  • Five (5) years of Human Resources Experience.
  • Human Resource certification
  • Experience working in Dayforce or a similar Human Resource Information System (HRIS).
  • Experience supporting employee benefits administration.
  • Experience in hospitality, tourism, agriculture, recreation, or multi-department operations.
  • Knowledge of Hawai'i employment laws and HR best practices.
